Job Description

The Executive Assistant is responsible for assisting the President - Chief Executive Officer and other senior leaders by performing administrative duties as related to the interdepartmental operations of the Hospital. This role is also responsible for coordinating the overall activities of the executive office, including the reception area, mail, large purchasing requests, and the general office area.
Duties and Responsibilities:
Receive, screen, and direct calls to the President - Chief Executive Officer or appropriate Officer. Read incoming mail and distribute accordingly to appropriate system in use by the department. Prepare documents for President - Chief Executive Officer and Board of Trustees. Liaison to Board of Trustees. Keep records of appointments and meetings. Reminds executive staff of their appointments and meetings. Maintain files of incoming and outgoing correspondence, reports, and other documents in a systematic order. Assemble materials and periodic reports from various sources. Apply independently, general concepts to specific problems within the realm of responsibility utilizing hospital and departmental policies and procedures. Prepares bi-weekly payroll for contracted physicians and monthly on-call physicians. Prepares rental payments for outside clinics. Maintains PTO as well as system approval for bi-weekly payroll for Senior Management Team and others as assigned. Oversee the maintenance of office equipment, including copier, fax machine, etc. Maintains Verizon Account for hospital cellular phones. Assists with budget for Executive Office. Perform the appropriate committee functions as assigned. Maintains reservation book for conference rooms within the hospital. Other duties as assigned.
Qualifications:
Required Education:
High school diploma or GED and knowledge of medical terminology or the combination of education, knowledge, skills, mental development, and relevant experience that enables performance of all aspects of the position. Associaties degree in Business Administration or related field coupled with knowledge of medical terminology a plus!
Required Experience:
Minimum of five (5) years of experience in an office setting. Ability to type 70 wpm. Prior experience in a health care setting with lead or supervisory experience desirable!
