Duly Health and Care is seeking a highly organized, proactive, and adaptable Executive Assistant to support two senior leaders — a Senior Vice President of Operations and a Physician Leader. This individual will serve as a strategic partner to leadership by managing complex schedules, driving follow-through on priorities, coordinating meetings and travel, and helping increase executive effectiveness across a fast-paced healthcare environment. This role requires a high level of ownership, professionalism, responsiveness, and sound judgment. The ideal candidate can anticipate needs, manage competing priorities, communicate effectively with leaders across the organization, and create structure in a dynamic environment. Due to physician schedules, leadership meetings, and organizational events, this position will require flexibility to often work early mornings, evenings, and other off-hours as business needs arise.
Responsibilities:
Manage complex executive calendars, meetings, travel, and shifting priorities Coordinate leadership meetings, agendas, materials, action items, and follow-up Proactively identify gaps, anticipate needs, and drive work forward with limited direction Track priorities, commitments, and deliverables to ensure timely completion Help hold stakeholders accountable for follow-through and execution Triage requests and help prioritize competing demands Draft professional communications and maintain strict confidentiality Serve as a liaison across physicians, operational leaders, staff, and external partners Attend meetings as needed to gather information, escalate issues, and support leadership effectiveness Support leadership events and special projects
Qualifications:
If you are committed to putting our patients first and helping shape the future of care, you belong at Duly. 5+ years of executive support experience, preferably supporting senior leadership Exceptional organizational skills and attention to detail Strong written and verbal communication skills Ability to operate independently and proactively in a fast-paced environment Strong critical thinking, problem-solving, and follow-through skills High level of professionalism, discretion, and accountability Strong proficiency with Microsoft Office Suite and Outlook The ideal candidate will demonstrate: Proactive Ownership & Independent Execution Operates effectively with limited direction Anticipates needs, identifies gaps, and proactively drives work forward Brings solutions, recommendations, and next steps rather than waiting for instruction Comfortably manages projects and resolves issues independently when appropriate Follow-Up, Follow-Through & Organizational Effectiveness Highly organized, detail-oriented, and dependable Ensures priorities, commitments, and action items are tracked through completion Maintains meeting notes, action-item trackers, and coordinated follow-up Holds stakeholders accountable while ensuring deadlines and commitments are met Ensures communications and deliverables are completed without requiring repeated follow-up Strategic Partnership & Leadership Leverage Acts as a trusted extension of the leadership team Helps increase executive effectiveness and organizational capacity Attends meetings when appropriate to gather information, escalate issues, and provide perspective Helps prioritize competing demands and keeps leaders focused on strategic priorities Serves as the "eyes and ears" of leadership across the organization Judgment, Communication & Relationship Management Quickly understands priorities and exercises strong judgment Appropriately triages requests and competing demands Demonstrates professionalism, discretion, and service-oriented leadership Builds strong relationships with physicians, operational leaders, staff, and external stakeholders Represents leadership with confidence, responsiveness, and professionalism The compensation for this role includes a base pay range of 62K-85K, with the actual pay determined by factors such as skills, experience, education, certifications, geographic location, and internal equity. Additional compensation may be available through shift differentials, bonuses, and other incentives. Base pay is only a portion of the total rewards package.
