- Full-time Position Summary The Assistant to the Executive Director provides advanced administrative, operational, and supervisory support to ensure the seamless execution of programs and facility operations at the Activity and Recreation Center (ARC).
This role bridges high-level executive strategy with daily member services, volunteer operations, and facility management, serving as a primary operational catalyst under the direct guidance of the Executive Director.
Essential Duties and Responsibilities Executive & Operational Coordination:
Streamline daily operations across the facility, assisting with budget monitoring, operational tracking, and policy implementation initiated by the Executive Director.
Member Services & Volunteer Leadership:
Oversee front-of-house operations, establishing high standards for member engagement, onboarding, and retention. Coordinate the recruitment, training, scheduling, and appreciation of facility volunteers.
Programming & Event Support:
Assist in planning, scheduling, and executing recreational, social, and community programs, ensuring resource allocation and staffing levels are optimized.
Keyholder & Facility Oversight:
Act as a designated keyholder responsible for facility opening/closing procedures, security protocols, and managing the day-to-day coordination of part-time and support staff.
Confidential Communication:
Manage executive correspondence, draft operational reports, and field escalated member or community inquiries with discretion, clarity, and directness.
Qualifications & Skills Experience:
3+ years of progressive experience in community center operations, recreation management, or advanced public service administration, with demonstrated leadership or keyholder responsibilities.
Leadership:
Strong supervisory capability with a track record of coordinating staff, managing volunteer structures, and driving daily operational excellence.
Communication:
Highly developed interpersonal and written communication skills; comfortable presenting operational updates to leadership and engaging directly with public stakeholders.
Technical & Analytical Skills:
Proficiency in recreation management software, scheduling systems, and standard office data tools to track membership metrics and operational budgets.
