POSITION PURPOSE
The Executive Assistant provides support to the Chief Executive Officer (CEO) and other executive staff as assigned. This position upholds and promotes the philosophy, mission, and core values of New Hope of Indiana, fostering an inclusive and supportive environment for all.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
The following major functions describe the essential duties of this job classification. Specific positions may not perform all of these tasks and/or may perform additional tasks not listed here depending on the program. Coordinates a broad variety of administrative tasks for the CEO and/or executive team, including but not limited to: Maintaining the executive's calendar/schedule Ordering supplies for executive team and Board of Directors Creating and maintaining reports for tracking, data entry, etc. Prepare monthly Town Hall slides and recap email. Supports reception area coverage as needed, including participating in front desk rotation, creating a welcoming and inclusive environment. Attends executive leadership meetings for the purpose of taking minutes and/or coordinating the dissemination of data to attendees. Handles highly confidential financial, personnel and other types of documentation in a discreet, sensitive manner to ensure breaches do not occur. Assists with social media communication and other associate communication as needed. Communicates effectively to assist associates and others as needed, including cordial and efficient telephone handling, and responding to routine questions. Provides administrative functions as needed. Supports the New Hope Board of Directors and related governance functions, including preparation before, moderating all virtual elements during meetings, minute taking during board and committee meetings and all follow-up work. Assists with special projects and events. Performs other duties as may be assigned.
EDUCATION AND/OR EXPERIENCE
Minimum requirements are needed in order to perform the essential functions of this position. Basic Associate degree and two (2) years of experience working in an administrative support role OR Minimum of five (5) years of administrative support to senior leadership (executives, C-suite job titles, etc.) in lieu of education. Preferred Bachelor's Degree and two (2)+ years' experience in an administrative role supporting senior leadership (executive, C-suite job titles, etc.)

Personal Skills and Aptitudes Demonstrate skills in effective and oral communication, possess strong attention to detail and ability to prioritize administrative and organizational duties. Maintain confidentiality, exercise good judgement and react to situations with professionalism and empathy. Establish relationships with a variety of stakeholders Proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint, Teams and Co-Pilot), SharePoint, Canva, Zoom and social media. Work Schedule Must be able to work daytime hours. Must be able to work at least 4 days a week in the office after position onboarding. Occasional weekend or evening hours may be required, based on needs.
Pay:
$40,000.00 - $50,000.00 per year
