Key Responsibilities Provide high-level administrative support, serving as a trusted partner and extension of the executive office. Provide limited administrative support to direct leadership staff as needed. Manage complex, high-volume calendars, including coordination of meetings with senior executives, staff meetings, all-hands calls, and leadership forums. Arrange and manage domestic and international travel, including itineraries, travel documentation, and preparation and submission of expense reports. Handle highly confidential and sensitive information with the utmost discretion, exercising sound judgment in all internal and external interactions. Proactively identify urgent issues, requests, or calls and take appropriate action to ensure timely resolution. Prepare executive correspondence; create, edit, and format spreadsheets, presentations, and reports; and support special projects as required. Operate effectively in a remote environment with flexibility for early-morning hours to support international stakeholders and time zones. Foster strong human connections across the organization and with external partners. This role requires a high level of emotional intelligence, professionalism, and presence in live interactions—by phone, video, and in person. Qualifications Minimum of 8 years of executive administrative experience, supporting senior-level executives, preferably within a Marketing organization. Advanced proficiency in Microsoft Office, including Excel, Word, and PowerPoint. Proven ability to manage competing priorities, exercise discretion, and independently assess urgency in a fast-paced environment. Strong multitasking capabilities with the ability to meet deadlines and manage time effectively. Exceptional organizational skills and meticulous attention to detail. Demonstrated interpersonal and communication excellence, with the ability to engage with individuals at all levels of the organization. Experience managing budgets, expense reporting, and administrative tracking or reporting. Sound judgment and discretion when handling highly confidential and sensitive information.
