The Senior Executive Assistant provides advanced, high-level administrative and operational support to multiple senior executives. Serving as an extension of these leaders, this role manages complex schedules, prepares executive-level materials, coordinates cross-functional communication, and ensures efficient execution of organizational priorities. The Senior Executive Assistant exercises exceptional judgment, professionalism, and discretion while supporting a wide range of confidential, time-sensitive, and enterprise-impacting activities.Job Responsibilities:
Executive Support and Calendar Management Independently manage dynamic calendars involving multi-executive scheduling, high-level meetings, community commitments, and travel arrangements. Prioritize and triage scheduling changes based on strategic importance, operational urgency, and executive availability. Ensure executives are prepared for all engagements with complete materials, briefings, and follow-up actions. Meeting and Project Coordination Plan, coordinate, and execute executive meetings, retreats, operational reviews, and cross-functional work sessions. Prepare agendas, talking points, briefing documents, and presentations for internal and external audiences. Capture and disseminate high-quality meeting minutes and ensure timely follow-up on action items. Communication and Relationship Management Serve as a primary point of contact on behalf of the SVP-level executives for internal leaders, physicians, staff, board members, and community partners. Draft, proofread, and refine communications, presentations, and correspondence ensuring accuracy, professionalism, and alignment with organizational standards. Promote a positive, polished image of executive leadership through consistent, thoughtful interactions. Operational and Analytical Support Conduct research, analyze information, and prepare summaries or recommendations to support strategic and operational projects. Track key initiatives across operational, financial, and physician enterprise domains. Support process improvement efforts to enhance executive efficiency and administrative workflows. Confidentiality, Administrative and Departmental Support Exercise discretion and confidentiality in handling sensitive information, legal documents, executive discussions, and organizational data. Maintain organized and compliant filing systems for executive records and departmental documentation. Manage office needs including supplies, equipment, vendor coordination, and general operational support. Complete special projects, event planning, and cross-departmental tasks at the direction of senior leadership. Provide coverage or backup for other executive support roles as needed.Qualifications:
Required Associate's degree or equivalent work experience. Minimum 3-5 years of progressively responsible executive administrative support experience. Exceptional organization, critical thinking, and problem-solving skills. Strong written and verbal communication abilities. Proficiency with Microsoft Office Suite and related productivity tools. Demonstrated ability to manage competing priorities in a fast-paced environment. Preferred Bachelor's degree in Business Administration, Communications, Healthcare Administration, or related field. Experience supporting senior or C-suite executives. Healthcare environment experience. Experience with office management or departmental operations.
