ABOUT THE ROLE
We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and administrative functions. This role plays a critical part in ensuring smooth business operations through coordination of travel, expenses, logistics, records management, and office services. The ideal candidate is proactive, adaptable, and comfortable supporting multiple priorities in a fast-paced environment. Required Skills/Abilities Must be able to operate basic office equipment such as computers, copiers, calculators, and printers Knowledge of telephone protocol as well as the principles and practices of basic office management is required. Professional verbal and written communication skills and the ability to type quickly and accurately is required. Knowledge of administrative and clerical procedures and systems such as managing files and records, designing forms, and other office procedures and practices is required. Strong technical skills (Microsoft Office Suite) including the ability to create Power Point presentations, Excel spreadsheets, manage Outlook with ease, and create and design documents in Word is required, experience in project management and database management a plus. Expectations Office Operations, Logistics & Event Coordination Manage domestic and international shipping, including customs documentation, hazardous waste shipments and compliance requirements Monitor shipment status and resolve clearance or delivery issues Schedule meetings and maintain conference room calendars Order meals, arrange off-site dining, and support meetings and company events Order office, lab, janitorial, and corporate supplies Obtain vendor quotes and support office services such as janitorial, uniforms, pest control, and lodging Assist with office upkeep, business continuity planning, and special projects Administrative, Financial & Records Support Coordinate domestic and international travel arrangements, including flights, lodging, visas, passports, and visitor support Prepare and submit expense reports and manage P-Card documentation and reconciliation Maintain financial records, receipts, and monthly reporting in coordination with accounting Enter purchase requisitions, receive orders, and support invoice processing using internal systems Maintain NDA and invention disclosure records, including tracking, notarization, and SharePoint uploads Collect, distribute, and process mail and invoices; route documentation to Accounts Payable Prepare documents and reports using Microsoft Word, Excel, PowerPoint, and related tools Working Conditions Sedentary Work General office environment. Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. Lighting and temperature are adequate. Work is generally performed within an office environment, with standard equipment available. Exerting up to 10 pounds of force occasionally and/or a negligible amount to force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
Candidate Requirements Education :
