JOB SUMMARY
The Executive Assistant plays a critical role, providing high-level administrative support to the President while overseeing the daily operations of the office. This position requires exceptional organizational skills, discretion and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented and capable of anticipating needs, streamlining processes and maintaining a professional and efficient workplace.
DUTIES & RESPONSIBILITIES
Manage executive calendar, including scheduling meetings, appointments and travel arrangements Prepare reports and correspondence with a high degree of accuracy Handle occasional personal duties Track key deadlines and follow up on deliverables and action items Handle confidential information with integrity and discretion Manage office supplies, inventory and vendor relationships Coordinate facility maintenance and address workspace needs Handle mail, deliveries and front-office coordination Support onboarding processes (workspace setup, equipment, supplies) Assist in setup of technology equipment when necessary Assist with budgeting, expense tracking and invoice processing Support HR with administrative tasks Plan and coordinate company meetings, events and team activities Maintain organized filing systems (digital and physical) Identify opportunities to improve operations and efficiency May require after-hours support for executives or special projects
SKILLS & ABILITIES
Bachelor's degree preferred Valid DL with clear driving record 3-5 years of experience in an executive support/office management role Strong organizational, multitasking, and time-management skills Strong interpersonal and communication skills Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Ability to work independently and exercise strong prioritization and decision-making skills High level of professionalism and confidentiality Must be able to work independently or with a team; adaptability and flexibility in a dynamic environment Consistent, reliable and punctual attendance Excellent time management skills with a proven ability to meet deadlines Strong analytical and problem-solving skills Ability to prioritize tasks Ability to act with integrity, professionalism and confidentiality Attention to detail and problem-solving ability Initiative and proactive mindset
FUNCTIONAL REQUIREMENTS
This position requires constant (70-100%) use hands to finger, hearing (listening) and observing (vision), hand/eye coordination, walking and sitting. Requires Occasional (40-69%) lifting up to 25lbs, pushing, pulling, climbing, balancing, bending, twisting, stooping, kneeling, crouching, crawling, reaching, handling and feeling. Specific vision abilities required by this job include close vision, distance vision, depth perception, peripheral vision and ability to adjust & focus. Employee shall be able to be medically qualified by a NON-DOT or other job specific physical.
