Executive Administrative Assistant $34-$36/hour Chelmsford, MA Hybrid - 3-4 Days Onsite Schedule /
Core Hours:
Monday-Friday, 8:00 AM-5:00 PM Must be flexible for occasional schedule changes Onsite days may vary week-to-week (must be available M-F) Company Overview Our client is a fast-paced, highly professional organization seeking experienced Executive Administrative Assistants to support senior leadership across multiple time zones. This is an excellent opportunity to work closely with executive leadership and play a critical role in business operations. Role Overview We are seeking 2 highly polished Executive Administrative Assistants to support the COO (East Coast) and Manager of Administration (West Coast). This role requires strong executive presence, discretion, and the ability to manage competing priorities in a dynamic environment. The ideal candidate thrives in a fast-paced setting, demonstrates exceptional attention to detail, and is confident interacting with senior leadership and cross-functional teams. Key Responsibilities Manage complex, multi-time zone executive calendars, prioritizing meetings and resolving scheduling conflicts Coordinate and support leadership meetings, including agenda preparation, logistics, pre-read distribution, note-taking, and follow-up on action items Arrange domestic travel and manage logistics in alignment with company policies Draft, edit, and format executive communications and presentation materials Process and track executive expenses accurately and in a timely manner Act as a key liaison, screening communications and ensuring efficient information flow Maintain highly organized, version-controlled documents and shared resources Support workspace logistics, onboarding coordination, and organizational changes Collaborate cross-functionally with internal teams and external stakeholders Handle confidential and sensitive information with professionalism and discretion Ideal Background 5+ years of Executive Administrative Assistant experience required Experience supporting C-level executives ( CEO support strongly preferred ) Proven ability to manage complex calendars across multiple time zones Strong communication skills with a highly polished, professional demeanor High attention to detail and strong organizational skills Experience with expense reporting and travel coordination Financial services or corporate environment experience is a plus Ability to work onsite 3-4 days/week in Chelmsford with flexibility #TNG123
