No group health insurance offered A busy, professional office is seeking a polished and highly organized Executive Assistant to provide comprehensive administrative, operational, and client service support to senior leadership. This role is ideal for someone who enjoys being the right hand to an executive, is comfortable working in a client-facing environment, and can confidently manage scheduling, communication, follow-up, CRM updates, office coordination, and day-to-day priorities. The Executive Assistant will play a key role in helping leadership stay focused on client relationships, planning, and business growth. Key Responsibilities Executive & Administrative Support Manage calendars, schedule appointments, and coordinate meetings with clients, prospects, and professional partners. Prepare and organize meeting materials, presentations, agendas, and follow-up correspondence. Screen and prioritize emails, phone calls, and other communications; respond or delegate when appropriate. Conduct daily check-ins with leadership to review priorities, schedule changes, urgent items, and follow-up needs. Adjust tasks and priorities throughout the day as business needs change. Client Service & CRM Support Serve as an initial point of contact for clients, providing professional, friendly, and polished service in person, over the phone, and by email. Greet clients and prospects upon arrival and ensure a welcoming, professional office experience. Maintain and update client files and records in the CRM system, ensuring accuracy, confidentiality, and timely follow-up. Scan, organize, and maintain physical and electronic client files. Help facilitate client service by assigning tasks to appropriate team members and ensuring follow-through. Office Operations Coordinate logistics for client and team meetings, including room setup, technology setup, materials, and any other meeting needs. Maintain office supplies and general office organization. Support a smooth, efficient, and professional office environment. Assist with planning and execution of client appreciation events, educational events, or other office activities. Project, Compliance & Business Development Support Assist with special projects, including marketing initiatives, client communications, process improvements, and operational updates. Ensure documentation and administrative activities are completed in accordance with firm policies and industry regulations. Track business development activity, including prospect outreach, follow-ups, pipeline status, and next steps. Prepare reports on business development progress, activity, and key metrics. Support team members in managing business development tasks and ensuring timely follow-up on opportunities. Qualifications 5+ years of experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role. Prior experience in financial services, wealth management, professional services, or another client-facing office environment is strongly preferred. Strong technology skills and comfort working in multiple systems. CRM experience is highly preferred, as the team relies heavily on its CRM for client records, workflows, and follow-up. Excellent organizational and time management skills. Ability to multitask, prioritize, and shift gears quickly in a busy office. Strong written and verbal communication skills. High attention to detail and accuracy. Professional, polished, and client-service focused. Strong discretion and ability to handle confidential client and business information. Proficiency with Microsoft Office and general office technology. Positive attitude, strong follow-through, and willingness to support a small team wherever needed.
Pay:
$75,000.00 - $85,000.00 per year
