Executive Assistant to President Position Overview The Executive Assistant (EA) will provide comprehensive administrative and operational support to the President, ensuring the highest level of client service and efficient day-to-day operations. This role is critical in enabling the President to focus on client relationships, financial planning, and business growth by managing schedules, communications, and key administrative tasks. Key Responsibilities Administrative Support Manage the calendar, schedule appointments, and coordinate meetings with clients, prospects, and professional partners. Prepare and organize meeting materials, presentations, and follow-up correspondence. Screen and prioritize emails, phone calls, and other communications; respond or delegate as appropriate. Maintain and update client files and records in the CRM system, ensuring accuracy and confidentiality. Scan documents and maintain client physical and electronic files Client Service Serve as an initial and primary point of contact for clients, providing friendly and professional service both in person and over the phone. Facilitate client service by assigning tasks from advisor to CSA and ensuring follow through Greet clients and prospects upon arrival, ensuring a welcoming and professional experience. Operational & Office Management Coordinate logistics for client and team meetings, including room set up, technology setup, and any other items needed. Maintain office supplies and manage general office organization to support a productive work environment. Assist with event planning and execution for client appreciation or educational events. Project & Compliance Support Assist with special projects, such as marketing initiatives, client communications, and process improvements. Ensure all activities and documentation comply with firm policies and industry regulations. Business Development Tracking Track and maintain records of business development activities, including prospect outreach, follow-ups, and pipeline status. Prepare regular reports on business development progress and key metrics Support the advisors in managing business development tasks and ensuring timely follow-up on opportunities. Daily Check-Ins Conduct daily check-ins with the President to review priorities, align on the day's schedule, and address any urgent issues to ensure each day runs smoothly. Adjust tasks and priorities as needed based on these check-ins and ongoing developments. Qualifications Proven experience (5+ years) as an executive assistant, administrative assistant, or similar role—preferably in financial services or a professional office environment. Strong organizational and time management skills; ability to multitask and prioritize effectively. Excellent written and verbal communication skills. High attention to detail and accuracy. Proficient with office software (e.g., Microsoft Office Suite) and CRM systems Discretion and ability to handle confidential information. Professional, positive attitude and commitment to exceptional client service.
