Position DescriptionThis position is appointed by the County Executive and reports to the Executive Director of the Nonprofit Center. The Administrative Assistant provides essential support to ensure the smooth and efficient operation of the NPC. This role involves managing a variety of clerical, organizational, and event management tasks working closely with the Executive Director and Professional Development Manager. This position is located at 41 Community Place in Crownsville.
Respond to email and phone inquiries, providing excellent customer service in a timely, professional manner. Maintain an inquiry log.
Determine the availability of meeting space and explain the reservation guidelines process. Manage correspondence, lead walkthroughs with meeting planners, and prepare evaluations.
Set up meeting rooms and provide technology assistance for organizations using the space.
Maintain bookkeeping, inventory, procurement, and contract documents related to NPC services.
Prepare meeting minutes and service utilization summaries.
Assist with the preparation and distribution of newsletters, annual reports, and other communications for the Center. Submit service requests to the Facilities Management Division when needed.
Establish work priorities, coordinate activities to meet work deadlines, and collaborate with other departments to ensure timely provision of administrative and project-related support to the NPC, its staff, and future occupants.
Assist with other staff responsibilities when needed to ensure seamless coverage of services provided by the NPC.Other duties as assigned by the Executive Director.
Knowledge, Skills, and AbilitiesThe Administrative Assistant must be able to: Manage multiple projects simultaneouslyDemonstrate excellent verbal and written communication skills, initiative, and problem-solving skillsAdapt to changes in the work environment and be able to deal with frequent changes, delays, or unexpected eventsEstablish and maintain effective working relationships with other employees and the publicWork well independently and as part of a teamUse word processing, spreadsheet, presentation software (Google Suite) proficiently Learn, understand, and apply County policies and proceduresMove tables, chairs, and other event-related equipment (up to 50 pounds)Troubleshoot technical issuesExpress an interest in the work of nonprofit organizations in the CountyThe work is sedentary in nature and performed in an office environment (65%) and requires physical set up of meeting spaces for the NPC's programming, events, and external meetings (35%).
