Job Description:
Allon Advocacy, LLC, a full-service financial technology public policy consulting firm, is seeking an Executive Assistant to join and support our team. This is a full-time, hybrid position; the role requires working from our Washington, D.C. office at least one day per week and, in some instances, more often. The Executive Assistant will be responsible for: Managing calendars and scheduling meetings for a small but busy team in a multi-client environment. Preparing and distributing substantive meeting minutes as well as maintaining/updating records as needed. Drafting preparatory materials and collateral for client meetings with policy stakeholders. Drafting legislative and/regulatory hearing and briefing summaries and distributing them to clients. Arranging travel and processing travel and expense reports. Planning and executing off-site events on behalf of our clients, including identifying venues, coordinating vendors, and maintaining budget fidelity. Processing client invoices and working directly with clients' accounting teams. Acting as the coordinator of our team by keeping track of key deadlines and milestones. Preparing and submitting the firm's quarterly lobbying disclosure reports and semi-annual lobbying contribution reports. Assisting with the preparation of PowerPoint presentations as needed. The ideal candidate will have the following qualifications: A college degree with a minimum of three years of experience as an administrative professional, preferably in a government relations or regulatory environment. Fluency in MS Office programs (Outlook, Word, PowerPoint, and Excel) and Google Workspace (Docs, Sheets, and Forms). Familiarity with MailChimp, WordPress, and Canva. Experience managing projects. Experience with preparing and filing federal lobbying disclosures. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational skills with the ability to multitask.
