Job Description

Overview We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership in a fast-paced precious metals ecommerce and retail environment. This role requires strong communication skills, exceptional organizational abilities, and the capacity to manage multiple priorities while maintaining professionalism, discretion, and attention to detail.. The ideal candidate is dependable, resourceful, and capable of helping keep daily operations organized and running efficiently across departments. Key Responsibilities Provide direct administrative support to executive leadership in day-to-day business operations Manage calendars, scheduling, meetings, and coordination of priorities Track action items, deadlines, and follow-ups to ensure timely execution Coordinate internal communications and assist with cross-department workflow management Draft and manage professional emails, reports, spreadsheets, presentations, and correspondence Assist with operational, purchasing, inventory, or project-related administrative tasks as assigned Coordinate with suppliers, refineries, and wholesalers to ensure timely and accurate order fulfillment Organize and maintain internal documents, records, and reporting materials Prepare meeting materials, agendas, and summaries as needed Serve as a point of contact for internal staff, vendors, and external partners Assist in tracking operational metrics, reporting, and identifying workflow improvements Help identify and resolve workflow inefficiencies and administrative issues Maintain confidentiality and handle sensitive information with professionalism and discretion Qualifications Strong organizational skills with exceptional attention to detail Ability to multitask and manage competing priorities in a fast-paced environment Professional written and verbal communication skills Strong problem-solving abilities and a proactive mindset High level of integrity, discretion, and professionalism Proficiency in Microsoft Excel and general business software systems Experience with inventory, ERP, or e-commerce systems (such as Fishbowl) is a plus Previous administrative, operations, executive assistant, or coordination experience preferred
