Overview We are seeking a dynamic and highly organized Executive Assistant to join our team! Responsibilities Manage complex calendars, schedule appointments, and coordinate meetings for executive team members with efficiency and attention to detail Handle incoming calls using multi-line phone systems with professionalism and courteous phone etiquette Maintain organized filing systems, perform data entry, and ensure accurate record keeping using tools like Microsoft Office, Google Workspace, and QuickBooks Serve as the front desk receptionist, greeting visitors and directing them appropriately while maintaining a welcoming environment Assist with office management duties including supply ordering, filing, proofreading documents, and maintaining office equipment Provide exceptional customer service by supporting clients, vendors, and internal teams through effective communication and problem-solving Support bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks or similar software Coordinate travel arrangements, prepare agendas, take meeting minutes, and assist with calendar management for executives Perform clerical duties such as typing correspondence, proofreading documents for accuracy, and managing email correspondence efficiently Support personal assistant responsibilities when needed to help executives stay organized and focused on priority tasks Experience Proven experience in an administrative or office support role with a strong background in office management or clerical work Prior experience as an executive assistant or personal assistant is highly desirable Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools Familiarity with multi-line phone systems, front desk operations, and customer service best practices Experience working in healthcare or dental/medical reception environments is a plus; familiarity with medical or dental receptionist duties is advantageous Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Excellent written and verbal communication skills; bilingual ability is preferred but not required Knowledge of bookkeeping software such as QuickBooks or similar platforms is beneficial Ability to handle sensitive information discreetly while maintaining professionalism at all times Join us to be part of a vibrant team dedicated to excellence!
