$24- 26/hour (W2) Are you an experienced administrative professional looking to support senior leadership in a fast-paced financial services environment?
Ideal Candidate:
? 5-10 years of experience supporting senior executives in a corporate environment ? Experience in the financial services industry preferred ? Strong experience managing complex calendars and handling phone coverage ? Excellent communication, organization, and problem-solving skills ? Ability to manage multiple priorities in a fast-paced environment ? Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook) ? Experience with O365, Microsoft Teams, Point, Concur, or similar tools is a plus ? Strong attention to detail and ability to handle sensitive information with discretionKey Responsibilities:
- Act as the first point of contact for inbound and outbound communications, exercising discretion with sensitive information
- Manage complex calendars, schedule meetings, and coordinate conference calls and video meetings
- Interface with internal departments to gather information and support leadership needs
- Plan and coordinate internal events, including logistics, catering, and multimedia setup
- Arrange domestic and international travel, including itineraries, accommodations, and documentation
- Prepare and submit expense reports, resolving discrepancies and ensuring timely processing
- Create, edit, and format documents using Microsoft Office and Adobe Pro
- Manage shared team platforms such as Microsoft Teams and Point
- Support onboarding/offboarding processes, maintain distribution lists, and manage office operations
- Handle invoices, funding requests, and general administrative tasks
- Assist with ad hoc projects and provide backup support as needed
