Lakeside HR Group has been engaged by our client to recruit for an Executive Administrative Assistant to support the CEO and leadership team of a growing, fast-paced organization. This is a highly visible role ideal for someone who thrives in a dynamic environment, enjoys creating structure, and takes pride in helping executives operate at their highest level. This position goes far beyond traditional administrative support. You will serve as a trusted partner to executive leadership - helping drive organizational effectiveness, managing priorities, coordinating critical initiatives, and ensuring day-to-day operations continue moving forward seamlessly. The ideal candidate is proactive, highly organized, polished, and able to anticipate needs before they arise. Key Responsibilities:
Executive Calendar & Priority Management Manage a complex executive calendar with shifting priorities and competing demands Ensure executive time is aligned with the highest-value business initiatives Coordinate meetings, schedules, travel, and commitments while proactively identifying conflicts and solutions Build daily and weekly priority plans to maximize effectiveness and productivity Leadership & Meeting Coordination Coordinate leadership meetings, one-on-ones, and company-wide meetings Prepare agendas, materials, and supporting documentation in advance Capture meeting notes, action items, and accountability measures Track deliverables and follow through to ensure initiatives continue progressing Vendor & Operational Support Serve as a key point of contact for executive-level vendors and service providers Manage contracts, renewals, and administrative agreements Maintain organized business documentation and monitor vendor performance Financial & Project Coordination Reconcile executive expenses and corporate credit card activity Assist with reporting, data gathering, and operational tracking to support leadership decisions Support high-priority strategic initiatives and help improve organizational processes and efficiency Identify operational gaps and recommend thoughtful, proactive solutions Executive Support & Confidentiality Coordinate domestic and international travel, logistics, and event attendance Handle highly confidential business matters with professionalism and discretion Provide trusted executive-level support while maintaining strong judgment and confidentiality
Required Qualifications:
5+ years of executive-level administrative support experience, preferably supporting C-suite leadership Strong business acumen with the ability to operate effectively in executive environments Experience managing vendors, contracts, and external partnerships Exceptional written and verbal communication skills Strong organizational, prioritization, and multitasking abilities Advanced proficiency in Microsoft Office and Google Workspace High emotional intelligence, professionalism, and discretion Proven ability to anticipate needs, problem-solve, and work independently in a fast-paced environment
Preferred Qualifications:
Experience supporting CEOs or senior executive leadership teams Background in fast-paced, growth-oriented organizations Strong project coordination or operational support experience Demonstrated ability to improve systems, processes, and organizational efficiency
