Job Description

The American Registry of Radiologic Technologists (ARRT) is seeking a fulltime Executive Assistant to provide support to our Executive Team members. This position features a Monday-Friday schedule, a convenient Mendota Heights location with hybrid option- all in a mission-based professional environment. The Executive Assistant provides high-level, strategic administrative support to members of the Executive Team and associated departments. This role enables effective executive operations through proactive management of calendars, communications, and priorities, while supporting the planning and execution of key organizational initiatives.
Duties and Responsibilities:
Executive Support, Prioritization, and Communications Manage and prioritize executives' calendars to ensure alignment with organizational goals and strategic priorities. Anticipate executive needs and proactively prepare materials, briefings, and information in advance. Prepare, coordinate, and follow up on meetings, including agendas, materials, research, and action items. Serve as a liaison between executives and internal/external stakeholders, ensuring clear communication and timely follow-through on key initiatives. Collaborate with executives on scheduling, communications, and administrative matters within established guidelines. Draft, edit, and prepare high-quality correspondence, reports, and presentations. Administrative Operations Serve as a resource for administrative tools, systems, and best practices. Identify and implement improvements to administrative processes, workflows, and systems to enhance efficiency and effectiveness. Develop, maintain, and refine standard operating procedures (SOPs) for executive support functions. Process and track departmental invoices and purchase orders. Administer vendor contracts, including processing, tracking, and maintaining records. Miscellaneous Support engagement efforts and cross-functional collaboration. Provide cross-coverage for other administrative staff as needed. Perform other duties as assigned or modified as business needs dictate.

SharePoint and Adobe Acrobat Minimum Qualifications:
Associate degree or equivalent experience 5+ years as an
Executive Assistant or Senior Administrative Assistant Preferred Qualifications:
