Executive Administrative Assistant, 8 hours a day for 260 Contract Days, Year Round.
Job Summary:
Using future-focused technology, this position provides advanced administrative and analytical support to the Instructional Leadership Team (Teaching & Learning and Special Education) and Communications Department, requiring a comprehensive understanding of district operations and educational policy. In addition to traditional executive support duties, this role incorporates research, data gathering, and analysis functions that inform and support leadership decision-making and strategic planning. Responsibilities include preparing reports and presentations, coordinating meetings, serving as a liaison between leadership and staff, and managing sensitive and confidential information. Administrative Support & Communication Serve as the first point of contact for the Instructional Leadership Team (Teaching & Learning and Special Education) and Communications Office for district administrators, staff, external partners, and community members. Manage communications with a high level of professionalism, discretion, and confidentiality. Prepare internal and external reports (Restrictive Procedures, LCTS, etc.), presentations, and correspondence for the Instructional Leadership Team and Communications Office, integrating relevant data and insights where applicable. Identify issues and concerns raised by the public, staff, or parents; provide resolution or refer appropriately, ensuring clarity around district policy. Maintain a well-organized system for electronic and physical records, including data sets and research materials. Manage and track incoming correspondence and inquiries; ensure appropriate routing and timely response. Data Management & Research Support Conduct research to support Communication and Instructional Leadership initiatives, strategic planning efforts, and policy development. Compile, analyze, and summarize data related to district operations, academic performance, community engagement, and other key performance indicators. Develop dashboards, data briefs, and executive summaries to facilitate informed decision-making. Assist in evaluating programs and initiatives by collecting and reporting on data outcomes. Meeting & Event Coordination Schedule and coordinate meetings, including preparing agendas, presentations, meeting minutes and reports. Provide back-up coverage for Board meetings, ensuring accurate meeting minutes, documents, and timely follow-ups. Organize conference room setups and meeting materials for Board and/or district events. Arrange off-site district events as needed. Project Management & Compliance Initiate, review, and process confidential records and reports, ensuring accuracy and completeness. Coordinate with internal and external departments, personnel, and agencies to support district operations. Conduct specialized projects as assigned. Other Duties Perform additional responsibilities as needed to support district leadership and operations. Some of these involve evening event support. Qualifications Bachelor's Degree in Communications, Business Management, Education or other related field. Proven experience as an Executive Assistant, Administrative Coordinator, or similar role. Experience handling confidential information with discretion and professionalism. Strong verbal and written communication skills across various platforms (phone, email, in-person). Exceptional time management and organizational skills with the ability to prioritize tasks proactively. Experience managing office procedures, scheduling, and event coordination. Experience exercising discretion and confidentiality with sensitive company information; Knowledge of office procedures; and, familiarity with online calendars and cloud systems; Advanced skills using Google Suite, AI Technologies, Microsoft Suite, SPED Forms and other Information Database Systems; Experience using office equipment, including printers and fax machines. Pay & Benefits The pay range for this position is $64,000-85,000 annually, based on experience.
