M-F, 8 AM -5 PM MUST BE
Proficient in the Microsoft Office suite, Microsoft Outlook calendar, and experience with providing executive-level clerical support. This role is a high-level Executive Assistant supporting the VP.
  • Prior Executive Assistant experience from a healthcare environment is HIGHLY Preferred
JOB REQUIREMENTS
At least 3+ years of experience supporting VP level and above, preferably from a healthcare environment. Healthcare environments will get preference.
JOB DUTIES
  • Keep calendar up to date, removing and adding items accordingly.
  • Provide documents that are needed for meetings.
  • Work with other admins to set up meetings.
  • Making phone calls as requested by director.
  • Gathering information as needed by director.
  • Scheduling 1:1 meeting with direct reports
  • Making sure director is on time to meetings; If they need a reminder if their meetings are back-to-back.
  • Keep director aware of changes as they occur.
  • Organizing paperwork and filing
  • IS for Director o Ordering new laptops, printers, cell phone, iPad as needed o Maintaining supplies for printers for directors and ourselves o Call IS with problems that occur for director and us. o Ordering software as needed or upgrades.
  • Creating memberships/ or reinstating memberships to organizations (ex: AAACN)
  • Keep mileage for the director to input mileage reimbursement as needed.
  • Corporate reports on compliance - pulling our data and dispersing accordingly (i.e., competencies, flu shot)
  • Helping new managers with parking
  • Arranging new employee internal orientation
  • Computer assignment
  • Office Phones changed over to them; appropriate notifications set up.
  • Ordering or assigning new cell phones
  • Process reimbursements for costs out of pocket
  • Travel - Conferences, when needed.
  • Make reservations for employees traveling.
  • Book air and or hotels for travelers
  • Mail cards and interoffice items
