About ARC ARC is a fast-growing warranty, administration and 20 group company serving automotive dealerships nationwide. We are seeking a highly capable, proactive Executive Assistant to directly support our CEO and COO. This is not a passive role—it requires ownership, judgment, and the ability to operate at a high level in a dynamic environment. Position Overview The Executive Assistant will serve as a critical partner to the CEO and COO, ensuring their time, priorities, and communication are optimized. This individual will act as a gatekeeper, problem solver, and execution driver across both business and select personal responsibilities. The ideal candidate is autonomous, organized, detail-oriented, highly responsive, and thrives in a fast-moving environment with shifting priorities. Key Responsibilities Executive Support Manage and prioritize email communications for CEO and COO Maintain and optimize complex calendars, ensuring alignment with strategic priorities Act as gatekeeper for inbound requests, meetings, and communications Prepare, organize, and follow up on meetings, agendas, and action items Scheduling & Travel Coordinate all travel arrangements (flights, hotels, rental cars, itineraries) Manage logistics for meetings, events, and on-site visits Ensure seamless execution of travel schedules and contingencies Operations & Coordination Assist with special projects across departments (Sales, Operations, Marketing, etc.) Track key initiatives and ensure reporting of deadlines and deliverables are accurate Coordinate internal and external communications on behalf of leadership Personal & Administrative Support Handle select personal and business-related errands for CEO/COO Assist with scheduling personal commitments when needed Manage miscellaneous administrative duties as assigned Other Anticipate needs before they arise Create systems and processes to improve efficiency Maintain confidentiality and professionalism at all times Qualifications 3+ years experience supporting C-level executives (preferred) Exceptional organizational and time-management skills Strong written and verbal communication skills High level of discretion and professionalism Ability to multitask and prioritize in a fast-paced environment Tech-savvy (Google Workspace, Google Suite, Mac Computers, CRM tools, etc.) Problem-solver with a "figure it out" mindset Willingness to travel occasionally if needed What We're Looking For Someone who takes ownership, not just direction A proactive thinker who anticipates needs Calm under pressure and adaptable to change High attention to detail with strong follow-through Loyal, trustworthy, and aligned with our core values Compensation & Benefits Competitive salary (based on experience) Health, vision, dental, life insurance and retirement benefits Paid time off and holidays Opportunity to work closely with executive leadership High-growth environment with career advancement opportunities Why This Role Matters This position is a force multiplier for our leadership team.
