This is a high-impact role for a resourceful, highly organized professional who thrives in a fast-paced, ever-evolving environment. The ideal candidate is not only detail-oriented, but anticipatory—able to stay several steps ahead, manage competing priorities seamlessly, and bring structure to complexity. You will play a critical role in enabling executive effectiveness through expert calendar and inbox management, thoughtful coordination of projects and communications, and a strong command of office operations. Success in this position requires exceptional communication skills, emotional intelligence, and the ability to build trust across all levels of the organization. You will act as a central point of coordination, ensuring alignment, efficiency, and confidentiality in all matters. Key Responsibilities Manage a highly complex and dynamic calendar for the CEO/President, including prioritizing meetings, resolving conflicts, and ensuring alignment with business priorities Coordinate all travel arrangements (domestic and international), including detailed itineraries, logistics, and contingency planning Act as a gatekeeper for the CEO/President, managing access, communications, and requests from internal and external stakeholders Serve as a primary liaison between the CEO/President and executive leadership team, global executive team, employees, and external partners Prepare and manage executive-level communications, presentations, reports, and briefing materials Lead preparation for key meetings, including agendas, materials, meals and follow-up on action items Support Executive team meetings/activities, including meeting coordination, materials preparation, and confidential documentation Handle highly sensitive and confidential information with the utmost professionalism and discretion Track strategic initiatives, key projects, and deadlines to ensure timely execution Anticipate the CEO/President's needs and proactively address issues to enhance efficiency and effectiveness Improve and streamline administrative processes to support executive operations Qualifications Minimum of 5 years of experience as an Executive Assistant supporting a CEO, President, or senior executive in a company with $100M+ in annual revenue Experience in a manufacturing environment , preferably HVAC or related industry, strongly preferred Demonstrated experience managing complex executive calendars and global travel logistics Strong business acumen and ability to understand organizational priorities Exceptional organizational, multitasking, and time management skills Excellent written and verbal communication skills High level of professionalism, discretion, and confidentiality Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Ability to work independently, anticipate needs, and exercise sound judgment under pressure Key Competencies Executive presence and professionalism Proactive, forward-thinking mindset Strong interpersonal and relationship management skills Ability to influence without authority Adaptability and resilience in a fast-paced environment High attention to detail and accuracy Why Join Us Direct partnership with the CEO/President of a growing HVAC manufacturing company High-impact role with visibility across the organization Competitive compensation and benefits packageBenefits:
