Job Description

Job description We are looking to fill the position of Executive Administrative Assistant in a construction office. In this role, you will play a critical part in providing high-level administrative support to the Owner & Office Manager. This role demands exceptional organizational skills, and the ability to handle a wide range of administrative tasks. We need someone who can focus and get things done in a timely manner and will persist until they get the answer needed to finish the job. Here is some of the skills needed: Extremely organized and able to assist in others becoming organized Very reliable to help with daily tasks and affairs Assist with administrative tasks including, but not limited to scheduling appointments, running errands, taking notes in meetings and answering calls/texts/emails Help the owner with tracking his time Able to complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans Works directly with Owner & Office Manager on all aspects of construction jobs Accompanying and/or driving to meetings with clients or other meetings and appointments Replying to incoming emails and initiating prompt responses, prioritizing issues to ensure the most critical matters are handled in a timely manner Organize and maintain calendars, tasks, and contacts Qualifications Must be extremely organized and can keep focus and stay on task. Proficiency in Microsoft Office, including Word and Excel Strong time management skills Ability to handle sensitive information with high level of confidentiality Must be a self-starter willing to take on projects and see them through to completion Possess excellent written and verbal communication skills Must be a team player with strong interpersonal skills Solid ability to multitask in a fast-paced environment Detailed oriented and proactive Previous Experience in Construction, Project Coordination or Home Design is a plus
