Year-round except July Position Summary The Executive Assistant provides high-level administrative, operational, and strategic support to the head of school, division heads, and the board of trustees. This role requires discretion, exceptional judgment, strong organizational and computer skills, initiative, responsiveness, and a commitment to the mission and values of the school. This is a 12-month, on-campus position, five days per week, Monday through Friday, and requires occasional evening work. Major tasks & duties Coordinates substitute teachers and manages the payroll process for substitutes. Maintains records of faculty and staff PTO. Manages and maintains the head of school's calendar, appointments, and daily priorities. Updates the parent and student handbook and the faculty and staff handbook with input from the head of school and division heads. Assists the division heads and advancement team in the planning of special events and programs. Schedules and communicates the board of trustee and board of trustee committee meetings. Attends and takes minutes of board meetings and committee meetings. Manages the credit card receipts and invoices for head of school and division heads. Assists in the scheduling of interviews and onboarding of new hires. Schedules and facilitates all monthly faculty & staff meetings. Assists front desk operations and covers as needed. Supervises the school secretary and registrar. Manages and maintains the school calendar of events for faculty, staff, and parents. Minimum qualifications Proficiency with Microsoft Office Bachelor's degree preferred, with a minimum of 3 years of experience in administrative support roles. Excellent organizational skills and attention to detail. Strong written and verbal communication abilities. Ability to maintain confidentiality and handle sensitive information with discretion. Previous experience in an educational setting or nonprofit organization is a plus. Physical demands Incumbents must be able to successfully perform the essential functions of the job, with or without reasonable accommodation.
