Job Overview We are seeking a dynamic and highly organized Administrative Executive Assistant to join our team. Responsibilities Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating tasks using tools like Microsoft Outlook Calendar and Google Workspace. Handle phone etiquette professionally across multi-line phone systems, screening calls and directing inquiries appropriately. Perform data entry, filing, and document proofreading to maintain accurate records and ensure high-quality communication. Support bookkeeping tasks such as invoicing, expense tracking, and using QuickBooks Online for financial record management. Coordinate projects by tracking deadlines, preparing reports, and collaborating with various departments to meet organizational goals. Manage office to ensure the office environment remains organized and welcoming. Requirements Proven experience in office management or administrative roles with a strong background in executive administrative support. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools like DocuSign. Excellent organizational skills with the ability to prioritize tasks efficiently in a busy setting. Strong typing skills with high accuracy; experience with transcription and proofreading is preferred. Familiarity with bookkeeping software such as QuickBooks and basic bookkeeping procedures. Exceptional communication skills including phone etiquette and customer service experience. Ability to handle confidential information discreetly while maintaining professionalism at all times.
