Job Description

Job Overview We are seeking a highly organized and detail-oriented Business Operations & Executive Assistant to support the founder in managing day-to-day operations and communication flow. This role goes beyond traditional administrative support. You will help prioritize information, evaluate opportunities (including RFPs), manage follow-ups, and ensure key initiatives move forward efficiently. The ideal candidate is proactive, organized, and comfortable working in a fast-moving environment where priorities evolve. Key Responsibilities Manage and organize executive inbox, including prioritization and drafting responses Review and summarize incoming opportunities to support decision-making Coordinate and optimize calendar, including scheduling and consolidating meetings Track key action items and follow up with team members to ensure timely execution Maintain a simple pipeline of prospects and follow-ups Prepare clear summaries, notes, and communications as needed Support day-to-day operational coordination across projects Qualifications 3+ years experience supporting an executive, founder, or operations team Strong written communication and ability to draft professional emails Excellent organizational and prioritization skills Ability to quickly understand and summarize complex information Comfortable working with evolving priorities and minimal structure Proactive mindset with strong attention to detail Proficiency with Google Workspace and standard business tools What We're Looking For Someone who can bring structure to a fast-moving environment Strong judgment in prioritizing tasks and information Ability to work independently while keeping leadership informed Interest in growing into a broader operations or coordination role
