Starting at $15/hour with increase to $18/hour after successful 90-day performance review About the Role We are seeking a trustworthy, organized, professional, and proactive Executive Assistant & Operations Coordinator to work directly with the CEO while helping oversee operations across multiple businesses and projects. This is not a basic administrative position. This role requires someone who can help keep operations organized, follow up consistently, communicate professionally, manage moving parts, and ensure important tasks do not fall through the cracks. The right candidate will support executive operations while also assisting with business coordination for ventures involving behavioral health, legal support services, referral partnerships, client coordination, special projects, and growing business initiatives. This role is ideal for someone who enjoys organization, problem-solving, communication, and helping businesses operate efficiently behind the scenes. Key ResponsibilitiesExecutive Support Manage the CEO's calendar, meetings, reminders, and follow-ups Assist with executive emails, calls, scheduling, and communications Prepare reports, updates, spreadsheets, and project tracking summaries Maintain confidential files, records, contracts, and business documents Help keep the CEO organized across multiple businesses and priorities Operations Coordination Track projects, assignments, deadlines, and operational tasks Follow up with staff, vendors, contractors, and partners to ensure completion of responsibilities Help organize workflows, records, systems, and communication processes Monitor paperwork, onboarding items, and documentation completion Escalate concerns, delays, or operational issues to leadership Referral & Client Coordination Assist with communication and follow-up with referral sources and professional partners Support intake coordination, scheduling, and client follow-up Track missed appointments, incomplete paperwork, and pending items Help maintain organized records and communication logs Business & Project Support Assist with support across multiple company ventures and projects Coordinate backend support tasks for new initiatives and operational needs Support organization of meetings, presentations, and business materials Assist with onboarding coordination and tracking for contractors or staff What We're Looking For We are looking for someone who is: Highly organized and detail-oriented Dependable, trustworthy, and professional Comfortable handling confidential information Strong with follow-up and task management Confident communicating by phone, email, and virtual meetings Able to manage multiple responsibilities at once Tech-savvy and comfortable learning new systems A self-starter who takes initiative without constant supervision Interested in long-term growth with a growing company Preferred Qualifications 2+ years of experience in executive support, office administration, operations coordination, customer service, intake coordination, or project support Strong communication and organizational skills Experience with Google Workspace, Microsoft Office, spreadsheets, scheduling systems, or project management tools Experience in healthcare, behavioral health, legal support, office management, or business operations is a plus Ability to work in a fast-paced environment while staying organized Compensation & Growth Opportunities Starting at $15/hour Increase to $18/hour after successful 90-day performance review Additional performance-based growth opportunities available Potential advancement into Operations Manager, Executive Operations, Project Management, or Leadership Support roles Hybrid flexibility available after training and demonstrated performance Why Join Us?
