On the hospitality side, that includes a restaurant, bar, and coworking space. On the tech side, that includes we have a number of high tech companies and investment opportunties. We are also actively fundraising and building investor relationships. This role is the operational backbone for leadership. High trust, high autonomy, and constant context switching. You keep the machine running while leadership focuses on growth. The Role You sit at the intersection of executive support, operations, admin finance coordination, and internal systems. You will be in the room with executives, investors, and partners. You represent the office with discretion and strong judgment. You do not wait to be told. You notice what is missing, build the system, and push it across the finish line with backups in place. Primary & Essential Responsibilities Executive Support (25%) Proactively manage calendar flow, priorities, and meeting prep Book complex travel and logistics (business and personal as needed) Draft emails, meeting notes, and follow-ups in the correct voice (with minimal supervision) Prepare communications on behalf of the Managing Partner (for his review) Track commitments and deadlines so decisions turn into action Create short briefs before key meetings: context, goals, and open loops Hospitality and Real Estate Operations Support (30%) Coordinate vendors, repairs, and operational logistics across venues Negotiate contract terms (for Managing Partner review) Maintain simple trackers for projects, punch lists, and recurring tasks Support event planning, private bookings, and partner coordination Organize documents, contracts, and shared drives across entities Anticipate operational constraints early and secure backup options Tech Business Operations Support (15%) Maintain CRM hygiene and clean data Support sales ops logistics: scheduling, follow-ups, notes, summaries Organize internal documentation, playbooks, and workflows Research and summarize topics quickly and clearly Fundraising and Investor Support (20%) Maintain investor
CRM:
notes, relationships, next steps, and follow-ups Coordinate investor meetings, dinners, events, and travel schedules Prepare lightweight investor briefs before meetings Track diligence requests, data room items, and open questions Help run cadence: updates, follow-ups, and "nothing slips" execution Personal and Tax Coordination (10%) Track receipts and expenses monthly Organize financial documents for the CPA Prepare quarterly and year-end tax packets Maintain filing checklists across entities You will not prepare taxes or give tax advice. You will manage the process so everything is organized and ready. Discretion and Trust You will have access to sensitive information across business, financial, legal, investor, and personal matters. Confidentiality and judgment are required. If you cannot reliably hold confidence, you are not qualified for this position. Relentless Follow-Through This role is outcome-driven. We expect you to proactively find solutions and opportunities for improvement. If an important task hits resistance, you must be someone who persists professionally, escalates intelligently, and creates alternate paths. You must also plan backups before they are needed. AI-First Expectations You should be comfortable using tools like ChatGPT to: Draft communications and summaries Turn messy notes into action plans Create checklists, workflows, and trackers Summarize documents and research You do not need to be an expert. You do need to use it daily and get better fast.
