This role is responsible for managing a broad and dynamic portfolio of administrative, operational, logistical, and project support functions that keep the President's office running efficiently across a multi-state pest control and field services organization. The ideal candidate is proactive, highly organized, discreet, and capable of managing competing priorities with minimal supervision. Executive & Administrative Support Manage and maintain the President's calendar, including scheduling meetings, travel, and appointments Assist in enrolling employees in (CCUs) for license requirements and manage related follow-up communications Prepare agendas, document meeting notes, and distribute action items following executive meetings Create and maintain presentations and slideshows for internal meetings and strategic planning sessions Coordinate notarization of documents as required Other duties as needed Operations & Project Support Support new office openings: coordinate furniture ordering, obtain required HR labor law posters, and set up utilities with accounting Assist with FieldRoutes platform setup for new office locations and ongoing system administration tasks help with data/admin Gather data for ad hoc operational projects (e.g., fleet inventory assessments, service analysis) Maintain and update Standard Operating Procedures (SOPs) as directed Assist in the preparation and submission of pest control business license applications and renewals Assist when needed for recruitment Assist with safety training and coordination Vendor, Procurement & Financial Solicit and compile quotes on equipment (e.g., insulation machines), branded items (e.g., logo thermostats), and professional services (e.g., civil engineering) Request and track product and service demo requests from vendors Upload receipts and manage expense Review and reconcile vendor bills on behalf of the President Manage DoorDash orders and office supply procurement Fleet & Vehicle Management Track and coordinate vehicle maintenance schedules and registration renewals Assist with accident claims, including documentation, communication with insurance carriers, and coordination with legal counsel Assist with pulling and organize vehicle camera/dash cam footage as needed Assist in the process of purchasing new company vehicles, including research and coordination with dealers Lease & Facilities Conduct lease searches for new office locations and coordinate follow-up with real estate agents Compile and answer questions related to proposed leases and route finalized documents to the appropriate contact for execution Inventory Management Assist with maintaining and tracking inventory of equipment, supplies, and company assets Assist with reconciling inventory records and flagging discrepancies Event Planning & Travel Plan and execute company events, team gatherings, and executive-level functions Build detailed travel itineraries for the President, including flights, hotels, transportation, and dining reservations Home Guardian & Strategic Initiatives Support execution of Home Guardian program initiatives as directed by the President Assist with bid preparation and compilation for new business opportunities Personal Errands Handle personal errands for the President as requested, maintaining discretion and confidentiality at all times

Qualifications Required:
3+ years of experience in an executive assistant, operations coordinator, or senior administrative role Exceptional organizational skills with the ability to manage multiple priorities simultaneously Strong written and verbal communication skills; professional email and correspondence ability High proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Forms, Drive) Demonstrated discretion and confidentiality in handling sensitive business and personal matters Ability to work independently, anticipate needs, and take initiative without waiting for direction Valid driver's license and reliable transportation
Preferred Qualifications:
Experience in field services, property management, pest control, or a multi-location service business Familiarity with FieldRoutes or similar field service management software Experience managing fleet or vehicle administration Comfort working with expense management platforms Notary Public certification or willingness to obtain
Physical Demands:
Prolonged periods of sitting while performing administrative and operational tasks at a computer workstation. Ability to stand, walk, bend, and reach while supporting day-to-day office and operational needs. Ability to lift, carry, and move office supplies, materials, or equipment up to 20 pounds as needed. Required ability to travel between multiple office locations or job sites as part of regular job duties. Ability to operate a vehicle or use transportation safely and reliably to support interoffice travel requirements. Frequent use of communication tools including phone, email, and virtual meeting platforms.
