Job Description

Overview We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. This role is vital in ensuring smooth daily operations, managing schedules, coordinating communications, and handling a variety of administrative tasks with precision. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to facilitate seamless interactions across diverse teams and clients. Responsibilities Manage complex calendars, schedule appointments, meetings, and travel arrangements for executives with attention to detail and flexibility. Handle incoming calls using multi-line phone systems, demonstrating professional phone etiquette and providing exceptional customer support. Prepare, proofread, and organize correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace tools. Maintain organized filing systems—both digital and physical—and ensure data entry accuracy for records management. Assist with office management duties such as supply procurement, equipment maintenance, and overseeing front desk operations. Coordinate with internal teams and external partners to facilitate effective communication and project execution. Support bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and basic financial record keeping. Provide personal assistant support to executives as needed, including calendar management and task prioritization. Qualifications Proven experience in office management or administrative roles with strong clerical skills. Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry systems. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong written and verbal communication skills. Experience with multi-line phone systems, front desk operations, and customer service is preferred. Prior Administrative experience within the construction field is advantageous but not required. Pay:
$16.50 - $21.00 per hour
