Association Services, Inc. is the administrative hub for Pioneer Promo, a thriving promotional products company, along with two major industry associations: the Pioneer Equipment Dealers Association (representing 350+ farm equipment dealers across MN, ND, and SD) and the Automobile Dealers Association of North Dakota. We are seeking a highly organized, proactive Executive Assistant who thrives in a fast-paced, ever-changing environment where no two days are the same—and where your work directly supports leadership effectiveness and organizational success. What Makes This Role Special This is a high-trust, high-impact position that enables the President/CEO to operate at a strategic level. While this role does not hold formal decision-making authority, it plays a critical part in shaping workflow efficiency, organizing priorities, and contributing thoughtful ideas, solutions, and recommendations for consideration. You will serve as a central point of coordination, communication, and execution—ensuring the CEO is prepared, focused, and operating at peak effectiveness. Key Responsibilities Executive Support & Calendar Management Manage and optimize the President/CEO's calendar, ensuring alignment with strategic priorities Coordinate meetings, appointments, and internal/external engagements with precision Anticipate conflicts, gaps, and inefficiencies and proactively resolve them Ensure the CEO is fully prepared for all daily commitments Meeting & Information Preparation Prepare briefings, agendas, and materials so the President/CEO can seamlessly transition between meetings and responsibilities Coordinate all board meeting logistics including scheduling, agendas, and materials Record and draft meeting minutes for final approval Conduct research and compile relevant data to support decision-making Track follow-ups and ensure action items are completed Strategic Coordination Act as the key liaison between the President/CEO and internal/external stakeholders Filter, organize, and prioritize incoming communication and requests Maintain awareness of ongoing projects and priorities to ensure alignment and timely execution Assist in managing communications and prioritizing requests across all channels Problem Solving & Execution Take initiative to identify issues, develop solutions, and implement them efficiently Operate with a proactive, "figure it out" mindset—bringing solutions, not problems Handle sensitive and confidential information with the highest level of discretion Operational Efficiency Streamline processes and improve workflows within the executive office Ensure the President/CEO's time is protected and focused on high-impact activities Manage special projects and additional responsibilities as assigned What We're Looking For 3+ years of experience supporting senior executives, preferably at the C-suite level Strong preference for experience with membership databases or association management systems Exceptional organizational and time management skills Strong research and analytical abilities High attention to detail with a commitment to accuracy Ability to prioritize and manage multiple tasks in a fast-paced environment Excellent written and verbal communication skills Proven ability to work independently and take initiative Professional, polished, and highly trustworthy demeanor Advanced proficiency in Microsoft Office Suite What Success Looks Like in This Role The CEO is consistently prepared, focused, and operating at a strategic level Communication flows smoothly and efficiently across all stakeholders Board meetings are well-organized, professional, and effectively executed Deadlines are met and follow-through is strong and reliable Executive workflows are streamlined and increasingly efficient
