Job Overview The Executive Assistant to the CFO serves as a strategic partner responsible for managing and optimizing all inbound and outbound communication for the CFO. This role acts as an extension of the CFO, ensuring timely, professional, and well-prioritized responses to phone calls, emails, and internal/external requests. The ideal candidate is highly organized, detail-oriented, and possesses strong business judgment, with the ability to anticipate needs, manage competing priorities, and communicate effectively on behalf of senior leadership.
JOB DESCRIPTION
Communication Management & Executive Support Manage and triage the CFO's follow ups ensuring timely and accurate responses Draft, edit, and send professional communications on behalf of the CFO Screen and prioritize incoming phone calls; handle or route inquiries appropriately Ensure all critical communications are addressed with urgency and follow-through Maintain a high level of confidentiality and professionalism in all interactions Prioritization & Workflow Coordination Assess and prioritize requests based on business impact and urgency Track outstanding items, ensuring follow-ups are completed and deadlines are met Coordinate communication across departments (Finance, IT, Operations, Stores, Vendors) Serve as a central point of contact for internal and external stakeholders Meeting Management Prepare meeting materials, agendas, and briefing notes as needed Capture action items and ensure timely follow-up on commitments Process Improvement & Organization Establish and maintain systems for managing communication flow and requests Develop templates and standard responses to improve efficiency Identify opportunities to streamline communication and administrative processes Maintain organized digital records of correspondence and key documents Education & Experience o 2+ years of experience supporting senior executives (C-suite preferred) o Exceptional written and verbal communication skills o Fluency in Spanish and English (written and verbal), required o Strong judgment with the ability to make decisions independently o Proven ability to manage high volume of communication with accuracy and speed o High level of discretion and professionalism o Advanced proficiency in Microsoft Outlook, Excel, Word, and Teams Skills & Competencies o Ability to represent the CFO with clarity and professionalism o Knows what matters most and acts accordingly o Takes responsibility for outcomes, not just tasks o Ensures accuracy in all communications and deliverables o Strong attention to detail and commitment to accuracy o Excellent organizational and time management skills o Ability to manage priorities and meet deadlines in a fast-paced environment o Problem analysis and problem-solving skills
