Job Description:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our Founder. This is a dynamic, high-impact role designed for someone who thrives in a fast-paced, entrepreneurial environment and can seamlessly balance business and personal priorities. The Executive Assistant will serve as a trusted partner to the Founder, bringing structure, foresight, discretion, and operational excellence to both company and personal matters. Approximately 75% of the role will focus on business support, with 25% dedicated to personal assistance. This is an in person role and works out of our location in Manhattan. This role requires exceptional follow-through, sound judgment, and the ability to anticipate needs before they arise. Key Responsibilities Executive Support Serve as the primary gatekeeper to the Founder, ensuring priorities are aligned and executed efficiently. Manage and maintain the Founder's complex and ever-changing calendar, including scheduling meetings, appointments, and events. Coordinate internal and external communications on behalf of the Founder, maintaining professionalism and discretion at all times. Prepare presentations, reports, contracts, and executive-level correspondence. Coordinate domestic and international travel, including itineraries, accommodations, and transportation logistics. Assist the broader executive team as needed Administrative & Project Coordination Assist with special projects and strategic initiatives by tracking deadlines, deliverables, and next steps. Prepare expense reports and maintain records of executive expenditures. Liaise with internal departments and external partners to ensure timely completion of projects and requests. Conduct research and gather information to support executive decision-making. Personal Assistance Manage personal calendar appointments and scheduling. Provide comprehensive personal support to the Founder and family, including bill pay, appointment scheduling, and vendor coordination. Oversee household maintenance projects and service providers. Run errands and manage personal logistic Coordinate family travel and special events as needed. Handle all personal matters with the highest level of discretion and professionalism
Qualifications:
3-5+ years of experience supporting a Founder, CEO, or senior executive, preferably within hospitality, real estate development, or construction. Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously. Superior written and verbal communication skills. Strong attention to detail and commitment to accuracy. High level of discretion and integrity; ability to handle confidential information with professionalism. Proficiency in Microsoft Office Suite, Google Workspace, and calendar management systems. Flexible in scheduling and able to work extended hours if needed.
