Position Overview Location:
Reno Corporate Office, Full - Time Reports to: President We are seeking an experienced Executive Assistant to directly support the President of a growing, fast-paced company. This role is ideal for a highly organized, proactive professional with prior executive-level support experience who thrives in dynamic environments and can bring structure, improve processes, and enhance day-to-day efficiency. The Executive Assistant will play a key role in managing priorities, streamlining operations, and ensuring the President's time is focused on high-value activities such as client relationships, strategic planning, and company growth. This position requires sound judgment, the ability to anticipate needs, and the confidence to take ownership of workflows and drive improvements across the organization. This is a fully in-person role with flexibility to support business needs, outside standard business hours when necessary. Key Responsibilities Executive Time & Priority Management Own and manage the President's calendar, focusing on maximizing productivity and protecting time for high-value activities, including client meetings, strategic planning, and business development. Evaluate and prioritize requests to ensure alignment with company goals. Process Improvement & Organization Review current administrative and operational processes, identify inefficiencies, and implement systems and processes to improve the organization. Create structure where needed and continuously refine workflows as the business grows. Executive Liaison & Communication Management Serve as the primary point of contact between the President, internal teams, customers, and business partners. Screen and manage communications, ensuring only the most critical matters reach the President. Operational & Project Support Prepare meeting materials, track action items, coordinate follow-ups, and ensure projects move forward on schedule. Take ownership of special projects and drive them to completion with minimal oversight. Judgment & Decision Support Use sound judgment to determine where the President's involvement is required and where tasks can be handled independently or delegated. Proactively remove obstacles and improve day-to-day efficiency. Cross-Functional Support Provide administrative and coordination support to other departments and managers as needed, in line with business priorities. Assist with scheduling, communication, and project coordination across teams to improve overall efficiency. Support select initiatives for department leaders while maintaining primary focus on the President's priorities. Travel & Logistics Coordination Coordinate travel, meetings, and logistics for the President, focusing on efficiency and time management. Optimize schedules to maximize productivity and minimize downtime. Oversee travel planning and oversight for team members as well as manage and review expense reports, ensuring accuracy, timely submission, and compliance with company policies. Confidential Information Management Handle sensitive information with the highest level of discretion, professionalism, and trust. Summarize and present information clearly so the President can make informed decisions. Qualifications & Skills Proven experience as an Executive Assistant supporting senior leadership or the company president Strong ability to create, improve, and manage processes in a fast-paced environment Excellent organizational and time-management skills with attention to detail Demonstrated ability to anticipate needs and work independently Strong judgment and confidence in decision-making. Exceptional written and verbal communication skills High level of discretion, professionalism, and reliability Must be proficient in all Microsoft Office applications (Outlook, Word, Excel, PowerPoint, and Teams) Ability to work fully in-person and maintain flexible availability when business needs require Compensation and Benefits
- Salary Range $54,000 - $72,000 a year (depending on experience)
