A prominent real estate firm located in Melville is looking for an Executive Assistant to the Director of Accounting. The current EA has been in the position for 30 years and is retiring. The company has 450 employees and 150 in the Melville office. About the
Job:
Schedule meetings, Interviews, etc Pick up and process incoming mail from the mailroom Be the point of contact for attorneys, banks, and accountants Answer the phone for the Director if on another line Track incoming checks and forward copies of checks & receipted deposit tickets and send to partners and outside investors Process wires Send investment checks via FedEx Maintain office petty cash Execute cash deposits: double-check cash, deposit ticket and hold for courier to bring to banks Open new bank accounts and distribute supplies (checkbook, deposit tickets, endorsement stamps Assist with
Closings:
Coordinate and prepare documents for signature. Mail/ per instructions from either Bank, Bank's attorney, Title Company Schedule inspections when requested Process verifications and retainers and forward internally Request documents for new acquisitions Send legal doc for signature to appropriate parties and edit accordingly Maintain updated insurance spreadsheet in
Excel About You:
Minimum of 7 years of experience supporting an executive BA/BS from a college or university a plus Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook) Adept at creating Excel spreadsheets Outstanding communication skills Salary, Benefits (80% of individual and family medical paid by employer), 401K w/ 25% match, PTO days
