POSITION SUMMARY
The Executive Assistant to the President provides high-level administrative and operational support to enhance the effectiveness, organization, and efficiency of the President's office. This role serves as a trusted partner, ensuring priorities are managed effectively, communications are handled professionally, and critical follow-up items are executed with discretion and attention to detail. The successful candidate will be highly organized, proactive, and capable of working independently in a fast-paced environment with minimal oversight. This individual must exercise sound judgment, maintain strict confidentiality, and demonstrate the professionalism and maturity required to support executive leadership while effectively interacting with internal stakeholders, external partners, customers, and visitors. This role extends beyond traditional administrative support and requires a resourceful individual who can anticipate needs, identify opportunities to improve efficiency to ensure executive priorities stay on track. KEY RESPONSIBILITIES
Executive Support & Calendar Management Provide high-level executive support to the President through proactive coordination of schedules, priorities, and administrative activities Manage a complex and frequently changing calendar, ensuring effective prioritization of meetings, commitments, deadlines, and competing business priorities Coordinate executive travel arrangements, including flights, accommodations, transportation, itineraries, and related logistics Manage arrangements for visiting guests, external partners, and out-of-town stakeholders, including hotel reservations, meeting logistics, and hospitality coordination Screen, prioritize, and manage incoming correspondence, calls, and requests, ensuring timely and professional responses or escalation as appropriate Meeting Coordination & Follow-Up Management Coordinate executive meetings, leadership sessions, and business events, including scheduling, agenda preparation, meeting materials, room arrangements, and related logistics Attend meetings as required to document discussions, capture action items, record decisions, and track follow-up commitments Proactively monitor outstanding action items and follow through with stakeholders to ensure timely completion Support meeting effectiveness by helping maintain focus, alignment, and accountability around priorities and commitments Communication & Administrative Operations Prepare, edit, and format presentations, correspondence, reports, meeting materials, and other executive documentation with a high degree of accuracy and professionalism Serve as a professional point of contact for internal and external stakeholders interacting with the President's office Support information flow between departments and leadership by facilitating communication and ensuring timely follow-up Handle sensitive and confidential business information with exceptional discretion and professionalism Maintain organized electronic and administrative records in accordance with company practices and business needs and NY state law Operational & Cross-Functional Support Assist with coordination of projects, deadlines, and executive initiatives by tracking milestones, deliverables, and required follow-up Provide flexible administrative support across broader office functions as business needs require Step in to support general administrative or operational activities when required, demonstrating adaptability and a team-oriented approach Identify opportunities to improve administrative efficiency, organization, and workflow effectiveness Support special projects and additional assignments as directed by the President CORE COMPETENCIES

Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint Strong calendar management and scheduling coordination skills Experience using ERP, CRM, or business systems is an asset Strong document preparation, formatting, and executive presentation support capabilities Comfortable managing digital records, shared systems, and administrative workflows QUALIFICATIONS & EXPERIENCE
Associates degree, but a Bachelor's degree preferred Minimum 5+ years of progressive administrative experience, with prior experience directly supporting senior leadership or executive-level roles strongly preferred Previous Executive Assistant experience supporting a President, executive leader, or senior management team strongly preferred Experience coordinating executive travel, business meetings, and stakeholder events required Demonstrated ability to work independently, manage competing priorities, and operate with minimal supervision Proven experience handling confidential and sensitive business matters with professionalism and discretion Strong written and verbal communication skills required Experience in legal administration, paralegal support, executive office environments, or similarly fast-paced professional settings considered a strong asset Manufacturing or industrial business experience considered an asset PHYSICAL REQUIREMENTS
Ability to remain seated and work at a computer for extended periods Ability to occasionally move materials such as files, meeting materials, or office supplies Ability to attend meetings across office facilities as required WORK ENVIRONMENT
Primarily office-based, in-person role located in Glens Falls, NY Fast-paced executive office environment with frequent shifting priorities Occasional flexibility in hours may be required to support executive schedules, meetings, or business needs PERFORMANCE EXPECTATIONS
