ASAP Job Description We are seeking a Bilingual Executive Administrative Assistant to join our team. The ideal candidate will have strong experience in complex calendar and travel management, executive-level communications, and meeting and event coordination and a proven ability to support senior leaders, manage sensitive information, and execute logistics with accuracy. Responsibilities Maintain complex and detailed calendars Complex international travel booking Screen incoming calls and determine priority while using discretion in sharing information Manage coordination and logistics of internal and external meetings Arrange and coordinate complicated domestic and international travel Organize all aspects of internal and external events, including catering and transportation Process invoices and T&E expense claims, ensuring compliance with policies and timelines Assist with staff onboarding and offboarding, including equipment requests and system access Produce high-quality emails and messages to stakeholders at all levels Maintain department documents, including organizational charts and executive bios Handle routine activities proactively and escalate issues or delays in advance Assist with editing spreadsheets and presentations, including printing and binding for client meetings .
Required Skills & Qualifications :
Fluency in Spanish Proficiency with Microsoft Office Suite, calendar systems, and travel/expense tools Strong organizational and problem-solving skills with attention to detail Excellent written and verbal communication abilities with discretion and judgment 6+ years of executive administrative support or closely related experience Experience with booking complex international travel, including visa Proficiency with Concur Preferred Skills Experience supporting senior executives in large, matrixed organizations Familiarity with international travel compliance and event planning platforms
