Executive Assistant
Job Description:
DPP is seeking an Executive Assistant to support senior leaders within a leading global investment firm in New York City. This position requires exceptional professionalism, discretion, organizational excellence, and the ability to operate effectively in a highperformance, fastpaced environment.
Location:
Onsite in New York, NY
Duration:
4 months, W2 position Position summary: Manage highly sensitive and confidential information with absolute discretion Handle a high volume of work while prioritizing timecritical tasks Maintain complex, fluid calendars and coordinate fast-changing schedules Demonstrate excellent written communication, research skills, and document preparation Develop and manage organizational systems (filing, trackers, contacts) Exercise strong judgment, anticipate needs, and proactively resolve issues Represent the Firm with integrity, professionalism, and respect while collaborating with internal and external stakeholders The ideal candidate will be able to: Provide highvolume calendar management and complex domestic and international travel coordination for a senior leadership team, supporting up to three principals, with flexibility to provide backup coverage for other Executive Assistants as needed. Plan and execute international roadshow travel, managing logistics endtoend to ensure seamless and efficient outcomes. Serve as a key point of contact between partners and clients, facilitating professional, timely, and effective communication. Coordinate and support conferences and events, including oversight of event staff and onsite logistics, to ensure successful execution. Partner closely with internal business units to ensure alignment with firm standards, priorities, and operational objectives. Strong general and long-term financial services or relevant experiences a plus!
Responsibilities:
Communication and Information Management:
Review incoming mail and/or email, prioritize and summarize content, and process replies on own initiative or from Executives&39; notes and directives Compose, proof, edit, and finalize correspondence and documents
Planning and Scheduling:
Coordinate domestic and international travel, itineraries, agendas, and required materials Prepare accurate and timely expense reports following Firm policy Manage executive calendars, anticipate conflicts, and communicate changes promptly Schedule and coordinate meetings and events, reserve space, arrange materials, and coordinate hospitality
Liaison and Teamwork:
Serve as a professional point of contact for portfolio organizations, investors, guests, and Firm personnel Maintain strict confidentiality at all times Act as a collaborative team member, offering support proactively Required knowledge, skills, and abilities: 8+ years of Executive Assistant experience and a bachelor's degree Financial industry experience strongly preferred Exceptional writing, editing, and communication capabilities Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook) Strong research skills using online and industry resources Excellent interpersonal skills; able to cultivate professional relationships Highly developed planning and organizational abilities; able to adapt quickly Superior attention to detail and timemanagement skills About the
