In-Person / Hybrid Position Overview We are seeking a highly organized, proactive, and resourceful Executive / Personal Assistant to support an architect and real estate developer managing multiple businesses, projects, properties, consultants, and daily operational responsibilities. This is a hands-on role for someone who can keep priorities organized, follow up consistently, coordinate communications, and help make sure important items do not get lost in the day-to-day noise. The right candidate will be polished, detail-oriented, comfortable with technology, and able to handle confidential business and personal matters with discretion. Responsibilities Executive & Administrative Support Manage calendar, meetings, appointments, reminders, and shifting priorities Organize emails, calls, documents, follow-ups, and time-sensitive matters Prepare meeting notes, action lists, task summaries, and deadline trackers Coordinate with clients, consultants, attorneys, engineers, contractors, vendors, property owners, and internal staff Draft professional emails, follow-ups, simple reports, and internal summaries Maintain organized digital files, contact lists, project records, and business documents Project & Business Coordination Track active architecture, construction, real estate, and compliance-related projects Follow up on drawings, filings, permits, inspections, proposals, invoices, and project deliverables Gather property records, agency documents, photos, contracts, consultant submissions, and other project information Maintain clear project status updates showing what is pending, who is responsible, and what needs to happen next Coordinate site visits, meetings, document deliveries, consultant appointments, and project-related scheduling Research properties, companies, contacts, vendors, agencies, and business opportunities as needed Personal & Operational Support Assist with day-to-day business and personal scheduling Help with travel planning, reservations, purchases, errands, personal appointments, and special projects Coordinate with marketing, accounting, legal, administrative, and operations professionals when needed Help organize priorities so key items are completed, not buried in emails or loose conversations Maintain confidentiality regarding clients, properties, business strategy, finances, and personal matters Qualifications Minimum 2 years of experience as an executive assistant, personal assistant, project coordinator, office manager, real estate assistant, or similar role Experience supporting an architect, developer, construction firm, real estate professional, attorney, or busy business owner is strongly preferred Excellent written and verbal communication skills Strong follow-up habits and ability to manage multiple open items at once Highly organized, reliable, and comfortable taking ownership of tasks Proficient with Microsoft Office, Google Workspace, calendars, cloud file systems, spreadsheets, and task management tools Comfortable using technology, AI tools, online research, and digital organization systems Professional demeanor with clients, consultants, contractors, and executive-level contacts Able to work independently, prioritize quickly, and handle confidential information appropriately Ideal Candidate The strongest candidate will be someone who: Anticipates problems before they become delays Keeps accurate lists, records, schedules, and follow-ups Is comfortable in a fast-paced, high-output environment Can move between business tasks, project coordination, and personal assistance Understands that the role is about execution, not simply forwarding emails Wants long-term growth within an active architecture, real estate, and business platform Compensation Compensation will be based on experience, availability, and ability to manage a demanding executive support role.
