Job Description A Billion-Dollar Hedge Fund in Midtown Manhattan is seeking a new Executive Assistant/PA to work closely with the Chief of Staff in support of the CEO and other senior members of the firm. Candidates must have a minimum of 5+ years of applicable high-level executive administrative support experience and a Bachelor's degree is required. He/She should be extremely flexible, extremely detail oriented, organized, polished, well-spoken, and accustomed to working in a fast-paced environment. This person must be able to work independently and as part of a team and enjoy the challenges of supporting multiple people in a dynamic environment, with primary support for a C-level executive. He/She should be ok with taking direction from the Chief of Staff and mature enough to work with and provide support for the CEO. Hybrid 4/1 schedule (4 days in, 1 remote), with the flexibility to work 5 days in office as needed. Compensation 150-175k +
B Responsibilities :
Provide high-level executive administrative and personal support to the CEO (and family) and other senior members of the team. Work closely with the CEO's Chief of Staff. Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; create agendas, and prepare and distribute meeting materials; manage and maintain busy and ever-changing calendars. Must have advanced Outlook skills. Coordinate complex domestic and international travel arrangements and detailed itineraries for the CEO and his family (experience with private travel a bonus). Prepare, process, and submit expense reports. Draft, type, and edit emails and correspondence on behalf of the CEO. Work with the Chief of Staff to identify and improve processes and create efficiencies for the CEO. Provide EA support for the Family Office, including Foundation initiatives. Participate in special projects such as planning and coordinating catering, events, travel, etc. Provide backup and support to members of the office management team.
Required Qualifications:
Minimum of 5+ years of relevant previous high-level executive administrative support experience working with HNW individuals. Bachelor's degree required. Professional demeanor with strong verbal and written communication skills; articulate and succinct. Knowledge of general administrative practices and procedures. Meticulous attention to detail. Excellent organizational skills; ability to plan, organize, schedule, and communicate in an efficient, productive manner. Ability to focus on key priorities, and not let important details slip through the cracks or derail a project. Must be a strong team player and interact well across various levels of employee seniority; reach out to colleagues, including senior members, to establish collaborative working relationships. Flexible, with a "no job is too big or small" mentality. Ability to learn and adapt, quickly and proficiently understand and absorb new information, adjust quickly to changing priorities and conditions, and cope effectively with complexity and change.
