This vital role offers the opportunity to support senior leadership by managing a wide range of administrative and office management duties. Duties Provide comprehensive administrative support to executives, including calendar management, scheduling meetings, and coordinating appointments. Handle incoming calls using multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette. Manage office operations efficiently by overseeing front desk responsibilities, greeting visitors, and maintaining a welcoming environment. Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity. Maintain organized filing systems, data entry records, and manage document flow using tools like Google Workspace and Microsoft Office Suite. Assist with bookkeeping tasks utilizing QuickBooks or similar accounting software to track expenses and financial records. Support customer service efforts by addressing inquiries promptly via phone or email and providing exceptional customer support. Coordinate travel arrangements, calendar management for executives, and personal assistant tasks as needed. Oversee office supplies inventory, manage procurement processes, and ensure the office environment remains efficient and well-stocked. Perform clerical duties such as photocopying, faxing, proofreading documents, and managing confidential information with discretion. Qualifications Proven experience as an executive assistant or in an office management role with strong clerical experience. Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills. Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong communication skills including phone etiquette; bilingual abilities are a plus! Experience working with multi-line phone systems and front desk operations preferred. Knowledge of bookkeeping software like QuickBooks is highly desirable. Previous experience in customer service or customer support roles enhances your candidacy. Ability to handle proofreading tasks accurately while maintaining attention to detail. Familiarity with medical or dental receptionist duties is advantageous but not required. Personal assistant experience or medical receptionist background will be considered a plus!
