Summary The Executive Assistant plays a pivotal role in supporting firm leadership, ensuring smooth office operations, and enhancing both client and team experiences. This position combines traditional executive support with office management, property management, client service coordination, and project management responsibilities. The EA will serve as the organizational backbone of the firm who owns calendars and inboxes with precision, overseeing office and property operations, managing branded materials, and assisting in planning events. Additionally, the role supports client service workflows by maintaining accurate records in CRM, file management, and documenting key processes. The Executive Assistant also contributes to firm growth by managing special business projects, conducting research, and coordinating cross-team initiatives, ensuring priorities are delivered on time and to standard. The role will be vital in creating a positive client and team experience; supporting the overall efficiency of our office, properties, and team by taking on additional projects as requested. Responsibilities Executive Assistant & Office Management Calendar management: Serve as the central owner of Financial Advisors' and leadership calendar(s). Proactively and strategically manage Financial Advisors' calendars to protect their time, prioritize high-value activities, and ensure seamless scheduling. Coordinate in person and virtual client meetings via phone and email. Anticipate and resolve scheduling conflicts before they arise, adjusting meetings as needed to prevent overlap. Manage office calendar to notify internal team members of visitors and off-site meetings. Manage travel logistics and client meeting meal coordination. Manage leadership email inbox(es) to ensure emails are responded to promptly, are flagged for follow up, and reduce inbox traffic. Manage shared firm-level inboxes. Support the creation and maintenance of a welcoming office environment. Support the planning of client events as needed. Manage creation, ordering and vendors for all branded materials, ensuring budget adherence and quality. Support HR team with the onboarding / offboarding process. Serve as firm liaison with the external IT firm and other service providers. Property Management Serve as the firm's go-to liaison for all property-related matters, acting as the direct point of contact for tenants and escalating to ownership as needed. Build and maintain a professional relationship with tenants and various contractors. Coordinate projects, repairs, inspections, and preventative maintenance to ensure office space(s) remain in excellent, professional condition. Manage relationships with maintenance providers and other property vendors, ensuring work is completed on time and to standard. Support the maintenance of organized records of lease agreements, renewal timelines, and related correspondence. Flag key dates and upcoming obligations to firm leadership in advance. Track and process property-related invoices and expenses, ensuring budget adherence and accurate record-keeping. Client Experience & Service Support Provide a high level of customer service by responding to inquiries promptly. Completing follow-ups as requested by Advisors and/or Client Service team. Partner with client service team to add new clients to CRM with accurate details. Update client information regularly to ensure accurate client data. Support effective workflows and automations. Ad hoc projects related to data integrity and reporting. Scan and save client paperwork, meeting notes, estate plans, and other documents as needed. Download and share statements, tax forms, etc. from Fidelity, Schwab and other Recordkeepers / Custodians as needed. Organize and maintain files in an efficient way for easy access. Partnering with various BCA team members, identify processes that need documented, help document existing processes, and identify opportunities for continual improvement. Business Related Project Management Support the planning, coordination, and execution of strategic initiatives. Project manager responsibilities include tracking timelines, deliverables, and communication across teams for successful completion of business priorities. COO & EVP
of Client Strategy Experience Prior administrative experience, specifically meeting coordination, calendar management, inbox management, and office management, required Highly proficient with Microsoft Suite (Excel, Outlook, PowerPoint, Word) Strong project management skills, required Strong professional aptitude with a service-first mindset Proven ability to maintain highly confidential information Highly organized with the ability to manage multiple priorities at once Positive, can-do attitude. Ability to take on new projects with limited direction. Strong desire to learn and grow Prior financial services experience a plus
