Executive Assistant to Director of Sales & Business DevelopmentStrategic Operator | Executive Partner | Business Integrator This is not a traditional Executive Assistant role. This is a high-impact partnership role for someone who thrives in fast-moving environments, loves bringing structure to complexity, and takes pride in operating at a high level behind the scenes. You will work directly alongside a growth-focused executive leading strategic partnerships, business development, and client relationships within the real estate industry. This role is designed for someone who is exceptionally organized, proactive, detail-oriented, and energized by creating operational excellence. The right person will become a deeply trusted partner inside the business-helping create the systems, follow-through, and execution that allow the organization to grow at a high level. About the Executive American Title Solutions is a relationship-driven title and escrow company serving top real estate professionals throughout the market. This role works directly with Andrea Hyatt, Director of Sales & Business Development, supporting high-level client relationships, strategic growth initiatives, team coordination, marketing collaboration, and operational execution across a fast-paced and growing business environment. What You'll Own This role is responsible for creating structure, organization, and operational consistency across a rapidly moving business. Executive Support & Calendar Management Manage and optimize a high-volume calendar and shifting priorities Coordinate meetings, scheduling, travel, and logistics Protect executive focus and ensure time is allocated effectively Communication & Client Coordination Manage inbox triage and communication follow-up Draft polished client and internal communications Help maintain a consistent, high-level client experience Project & Operations Management Track open loops, priorities, and follow-through across multiple initiatives Prepare agendas, meeting notes, and accountability items Coordinate moving pieces between departments, vendors, and partners Build systems and processes that improve efficiency and reduce friction Business Integration & Execution Support sales, marketing, and operational initiatives Help organize CRM activity, relationship follow-up, and project tracking Anticipate needs, solve problems proactively, and create stability in fast-moving situations What Success Looks Like The executive is focused primarily on highest-value work Communication is timely, polished, and organized Meetings are prepared for and properly executed Projects move forward consistently without dropped details Systems are created that improve speed, clarity, and efficiency Clients and partners experience professionalism, consistency, and responsiveness Who You Are Exceptionally organized and detail-oriented Calm, steady, and resourceful under pressure A strong communicator with professional written and verbal skills Highly proactive and naturally solutions-oriented Able to manage multiple moving priorities without losing structure Tech-savvy and comfortable learning new systems quickly Experienced with Google Workspace, CRM systems, project management tools, and AI tools (preferred) Motivated by ownership, excellence, and reliability You are someone who naturally creates order, improves processes, and helps people operate more effectively.
