Serve as a Strategic Executive Partner to the executive leadership team, enabling their success by: Anticipating needs and preparing executives for every meeting and decision Running high-impact projects independently with minimal direction Managing complex calendars, travel, and corporate events Acting as a trusted liaison and "ear" for employees, providing a safe space to share feedback Serving as the primary liaison between the CEO/Officers and other departments to ensure cohesiveness and consistency across the organization Building trust across the organization and maintaining discretion with confidential information Leveraging technology and web-based systems to streamline operations and increase executive efficiency Freeing up executive capacity so leaders can focus on strategic priorities Serving as a personal assistant to the owner, managing key tasks and building trust while enabling their success This role requires professionalism, humility, assertiveness, self-awareness, attention to detail, tech-savviness, and the ability to confidently support five key stakeholders plus others as needed. Duties and Responsibilities:
ESSENTIAL
Lead major projects from conception to completion, including Travel & Expense (T&E) system replacements, corporate credit card upgrades, and other operational initiatives Prepare high-level reports, presentations, and briefing materials Manage complex calendars, domestic and international travel, and corporate events Coordinate Board of Director meetings, including materials, minutes, and logistics Serve as a trusted liaison for employees, providing a safe space for feedback while maintaining confidentiality Serve as the primary liaison between the CEO/Officers and other departments, ensuring cohesiveness, alignment, and consistent communication Identify opportunities for process improvement and implement solutions, understanding necessary tools and proactively researching or adopting new systems as needed Maintain sensitive files, organizational KPIs, and executive scorecards Confidently support six key stakeholders while adapting to assist other leaders as needed Act as a polished, professional, humble, with an assertive presence, enabling executive success and serving as a force multiplier behind powerful leaders Act as a personal assistant to the owner, supporting their priorities and building trusted influence Utilize technology and web-based tools efficiently to optimize executive workflows and improve team communication REQUIRED
5 - 10+ years supporting C-Suite executives, preferably multiple leaders simultaneously Bachelor's degree preferred (High School minimum) Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word), web-based systems (e.g., DePloy), and SaaS T&E platforms (Concur, Expensify) Strong attention to detail, self-awareness, and confidence in running projects independently Assertive, proactive, outgoing, professional yet humble, and not intimidated by titles Strong relationship-building skills and ability to earn trust of employees and executives alike Tech-savvy with the ability to quickly learn, adopt, and optimize new tools and systems Experience planning events, managing logistics, and supporting cross-functional teams Capable of acting as a force multiplier behind executives, enabling their success while maintaining discretion and professionalism Physical Demands and Work Environment:
