JOB FUNCTION
The Executive Assistant will provide high-level administrative support to executive leadership at our office headquarters. This role will serve as the first point of contact for visitors, customers, and guests, ensuring a professional and welcoming front-of-office experience. Reporting to the Director of HR, this position plays a key role in managing executive schedules, coordinating meetings and events, preparing presentations, and supporting day-to-day operations for executive management. The ideal candidate is organized, detail-oriented, and proactive, with strong communication skills and the ability to balance multiple priorities in a fast-paced environment.
ESSENTIAL FUNCTIONS
Manage and maintain executive calendars, including scheduling meetings, coordinating logistics, and prioritizing competing needs Coordinate meetings, leadership events, and off-site gatherings, ensuring all logistics are handled smoothly Prepare PowerPoint presentations, reports, agendas, and other materials to support executive initiatives Serve as the welcoming presence at the front desk, greeting visitors, customers, and guests and creating a positive first impression Coordinate and facilitate facility tours for leadership, customers, and visitors Assist with planning and execution of internal meetings, events, and special projects Arrange travel and accommodations for executives as needed Draft and edit professional communications and correspondence on behalf of leadership Maintain organized records, documents, and files for easy access and reference Support tracking of key projects and follow-ups to help ensure timely completion Coordinate meeting setup (conference rooms, video calls, materials), partnering with IT as needed Represent the company in a professional and positive manner with strong follow-through and attention to detail
OTHER SKILLS AND ABILITIES
Professional, polished demeanor with a strong customer-service mindset Strong organizational and time management skills with the ability to handle multiple priorities Excellent written and verbal communication skills Intermediate skill in Microsoft Office (Outlook, PowerPoint, Word, Excel) Ability to work in a fast-paced environment and adapt to evolving needs Multi-task quickly Provide support in HR, Accounting, and other departmental tasks regularly
EDUCATION AND EXPERIENCE
Associate or Bachelor's degree in Human Resources, Business Administration, Communications, Office Administration, or similar field preferred 3-5+ years of experience in an administrative or executive support role Experience in a front-facing or reception-based role/work station Experience coordinating events, meetings, or tours
