Job Description

The Lake County YMCA Association Support Office is seeking a highly organized, professional, and detail-oriented individual to join our team as a full-time Executive Assistant & Board Liaison . This key position provides high-level administrative support to the CEO and Director of Advancement while serving as the primary liaison to the YMCA Board of Directors. The ideal candidate will be highly dependable, organized, and proactive, with the ability to work independently and confidently manage responsibilities without needing frequent direction. We are seeking someone who takes initiative, anticipates needs, and approaches challenges with professionalism, flexibility, and strong attention to detail.
Pay Rate:
$20 - $25 per hour
Schedule:
Weekdays; some evenings may be required

ESSENTIAL FUNCTIONS
Executive Support Lead and coordinate administrative support and project-based tasks on behalf of the CEO and Director of Advancement. Includes initiating key meetings and appointments relative to advancement (fundraising) and capital campaign support. Manage the CEO's calendar and schedule based on knowledge of priorities and availability; coordinate and confirm appointments, prepare materials for meetings, and ensure efficient use of the CEO's time. Make travel arrangements as needed and prepare accurate expense reports. Handle highly confidential and sensitive information with discretion and independent judgment in support of the CEO's responsibilities. Maintain highly confidential executive and board files and correspondence. Serve as the primary point of contact for internal and external constituencies on matters pertaining to the corporate office (also known as the Association Support Office "ASO"). Provide general administrative support to ASO, including office supply purchases, meeting room reservations, and coordination of incoming telephone communications. Board Liaison & Governance Serve as the liaison to the Board of Directors; ensure compliance with applicable rules, regulations, and procedures outlined in the organization's bylaws regarding the board and its committees. Communicate directly and on behalf of the CEO with board members on various matters. Prepare and distribute relevant materials to board members in advance of meetings; maintain computer databases for reports, committees, and mailings. Coordinate the annual schedule for Board of Directors' meetings and committees, including all logistics and event planning. Support board governance processes with professionalism and attention to detail.
QUALIFICATIONS
Bachelor's degree in social services, business administration, nonprofit management, or a related field preferred (or equivalent combination of education and experience). Five or more years of experience providing administrative support to high-level executives, administrators, or equivalent roles, preferably in a nonprofit setting. Proficient in all standard business software (Microsoft Office Suite, etc.) Excellent written and verbal communication skills, with the ability to draft professional correspondence, reports, and materials. Public speaking experience and the ability to effectively present information and respond to questions from donors, volunteers, senior leaders, and the public. Strong organizational and project management skills with attention to detail and the ability to manage multiple priorities in a deadline-driven environment. Demonstrated ability with developing key strategic partnerships and relationships.
PHYSICAL DEMANDS
Light work. Exerting up to 30 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects. The worker may be subject to noise. Occasionally subject to environmental conditions and unstable surfaces. Activities occur mostly inside.
Ability to:
stand, sit, stoop, kneel, and crouch occasionally during the work shift; use hands and fingers for fine motor skills occasionally; walk on a variety of uneven surfaces and climb stairs occasionally; receive detailed information through sound as well as express through spoken word; read and interpret instructions, procedures, manuals, and other documents.
