Oklahoma City, OK Job Details Full-time 7 hours ago Qualifications Confidential information handling Microsoft Office Full Job Description The Executive Assistant of the Marketing & Communications Division assists with the administrative duties of the division to support departmental operations, organizational communications, marketing initiatives, and stakeholder engagement activities. This position provides executive and administrative support to the Chief Marketing Officer and Marketing & Communications team and is not responsible for marketing strategy, content creation, campaign management, or public relations activities. Providing executive staff administrative support including, but not limited to, calendar and travel coordination, expense reporting, meeting support, Board reporting, and external correspondence. Providing administrative support to the Marketing & Communications department including meeting and event planning, invoicing, visitor support, records maintenance, and special projects as required. Providing contact management support through online management systems, including CRM platforms and other team and project management tools. Assisting with the tracking, coding, reconciliation, and reporting of departmental expenditures across multiple budgets, funding sources, and projects. Collecting data to support team metrics and reporting for internal and external stakeholders. Providing administrative support for marketing and communications initiatives, publications, events, and outreach activities, including scheduling, coordination, recordkeeping, and related administrative functions. Serve as an administrative liaison with internal and external stakeholders, including business leaders, Board members, media representatives, elected officials, community partners, and vendors. Ordering office supplies, distributing mail, and maintaining equipment. Assist Chief Marketing Officer and senior team members in monitoring division expenditures, budgets, and related reporting. Assists with various Chamber-wide functions/events and other administrative support organization-wide as requested. Coordinate project logistics and team efforts to ensure smooth execution and operational efficiency.
JOB REQUIREMENTS AND QUALIFICATIONS
College degree preferred. Must be highly motivated, competent self-starter. Excellent written and oral communication skills. Excellent computer skills. Above-average attention to detail. Ability to successfully manage a multitude of projects simultaneously. Exceptional organizational skills. Proficient in the use of technology including Microsoft programs and online database management tools. Experience providing executive-level administrative support for senior staff; experience supporting marketing, communications, public affairs, or similar functions is helpful but not required. Must be able to maintain strict confidentiality.
