Job Description
Overview We are seeking a highly experienced Executive Assistant with a strong work history supporting senior leadership in a fast-paced healthcare or hospital administration environment. This role is critical to ensuring the efficiency of executive operations by providing high-level administrative support, managing complex priorities, and maintaining strict confidentiality. The ideal candidate is detail-oriented, proactive, and skilled in calendar management, executive communications, and organizational coordination, with a proven ability to handle sensitive information and meet deadlines.

Responsibilities Executive Assistant is responsible for all general administrative duties related to the Administration office. Makes decisions of moderate difficulty. Handles multiple priorities within appropriate task deadlines. Maintains utmost confidentiality of information. Performs duties in accordance with Hospital mission, values, and behavioral standards. Key Responsibilities Provide comprehensive executive administrative support to the CEO and Administration team Anticipate leadership needs by preparing reports, records, correspondence, and key materials in advance Manage complex calendars, travel arrangements, meetings, and conference coordination Serve as a liaison between executives, physicians, board members, medical committees, staff, government agencies, and the public Handle confidential information, policies, and procedures with discretion and professionalism Draft, edit, and distribute executive-level correspondence and communications Assist in compiling financial reports, statistical data, and physician activity logs Oversee company-issued mobile devices (cell phones and pagers) including tracking and distribution Maintain office operations by ordering supplies, business materials, and administrative resources Support updates to the company intranet and internal communication systems Maintain and manage the Referring Physician List for organizational communications Coordinate travel logistics, including rental cars for physicians and staff Execute special projects and initiatives as assigned by executive leadership Qualifications Proven Executive Assistant experience with a strong, stable work history Background in healthcare, hospital administration, or medical office environments preferred Exceptional organizational, time management, and multitasking skills Advanced proficiency in Microsoft Office Suite and administrative systems Strong written and verbal communication skills Ability to handle sensitive and confidential information with integrity Demonstrated ability to work independently and meet deadlines in a fast-paced environmentQualifications Education :
High school diploma or equivalent required. Bachelor's degree preferred.Experience :
Minimum five (5) years of experience as an Administrative Assistant required. Experience in the healthcare field/hospital setting preferred.
