Job Summary:
We are looking for a sharp, highly organized Executive & Operations Assistant.
This is a three-part role:
EA to the CEO, sales support to our growth team, and administrative and financial support to our Finance & Accounting function.

The right person for this role is resourceful, proactive, and genuinely excited to use AI tools. You will own a wide range of responsibilities and will be trusted to operate with minimal hand-holding. You will sit at the center of the company and have direct visibility into how a high-growth healthcare company operates day to day.
Key Responsibilities:
Executive Support (CEO)Manage the CEO's calendar, scheduling, and meeting logisticsDraft and edit executive communications including emails, memos, follow-ups, andproposalsPrepare agendas, briefing materials, and recaps for key meetings and callsCoordinate travel arrangements, including flights, hotels, and itinerariesManage inbound requests and prioritize CEO time against strategic prioritiesAssist with board and investor materials as neededHandle personal logistics and projects at the CEO's directionSales Team SupportAssist the Chief Growth Ocer and sales team with CRM hygiene, pipeline tracking,and HubSpot data entry and reportingPrepare and format proposals, presentations, and RFP response materialsResearch prospects, compile contact lists, and support outreach sequencingCoordinate scheduling for sales calls, demos, and follow-upsTrack action items and next steps from sales conversations and keep the teamaccountable to follow-throughSupport conference and event logistics, including registrations, materials, andschedulingFinance & Accounting SupportProvide administrative support to the company's Finance & Accounting functionManage incoming and outgoing oce mailMaintain oce supply inventory and coordinate procurementUpdate the team meeting agendasCoordinate employee recognition initiativesOrganize and maintain financial records, contracts, and compliance documentationAssist with employee expense reimbursements and benefits administration
Qualifications:
3 to 5 years of experience in an executive assistant, operations coordinator, or similarmulti-stakeholder support role
Demonstrably AI-forward:
you actively use tools like Claude, ChatGPT, or similar inyour daily workflow to do your job better and faster. Be ready to show us how.

Strong written communication skills. You can draft a clean, professional email withoutbeing asked twice.

Highly organized with excellent attention to detail and the ability to juggle competingpriorities without dropping the ballExperience with CRM systems, ideally HubSpotComfortable with financial and accounting administrative tasks; you do not need tobe an accountant but you need to be precise and trustworthy with numbers anddocumentsProactive by nature. You anticipate needs, flag issues before they become problems,and bring solutions, not just questionsHealthcare industry experience is a plus, not a requirement
