Job Description

Overview We are seeking a polished, highly organized Executive Assistant to support the General Manager and leadership team at a luxury resort property. This role combines executive support, operational coordination, and guest service excellence in a fast-paced hospitality environment. The ideal candidate is proactive, detail-oriented, discreet, and experienced in supporting senior leadership. Strong communication, organization, and multitasking skills are essential. Essential Duties & Responsibilities Executive Support Manage the General Manager's calendar, travel, meetings, and communications Anticipate needs and prepare materials for meetings and key initiatives Track follow-ups and ensure timely completion of action items Prepare and submit monthly expense reports Operations & Administration Support daily administrative operations for the executive team Maintain office systems, supplies, and administrative processes Coordinate mail, purchasing support, and office logistics Assist with basic IT coordination and office functionality Meetings & Guest Experience Organize executive meetings, agendas, notes, and follow-up items Prepare reports, presentations, and correspondence Assist with hosting VIP guests, ownership groups, and visitors Coordinate personalized itineraries, arrivals, and special requests Cross-Functional Support Partner with departments across the property to support operational needs Maintain confidential records and tracking systems Assist with team events, recognition efforts, and workplace engagement initiatives Professional Standards Maintain professionalism, discretion, and confidentiality at all times Support company culture, service standards, and organizational initiatives Contribute to a polished and collaborative work environment Qualifications Hospitality, business administration, or related background preferred 3-5+ years of hospitality, hotel, resort, or executive support experience Experience supporting senior leadership or executive teams Strong organizational, communication, and multitasking skills Ability to manage competing priorities in a fast-paced environment Professional, guest-focused demeanor with strong attention to detail Ability to collaborate across multiple departments Ability to work on-site Preferred Experience with Springer-Miller Systems (SMS) or similar hospitality software Working Conditions & Physical Requirements Frequent movement throughout the property Occasional lifting up to 25 lbs Extended standing or walking as needed Regular interaction with guests, team members, and leadership Flexibility for occasional local travel or operational support needs
